Inbound: the customer calls

April cleanups and new mowing clients booked

The snow is barely gone and every yard on the street wants a cleanup, aeration and a spot on the mowing route. Every one of those calls is answered and booked, while you're on a skid steer and the crews are already out.

When it starts

A homeowner calls in spring asking for a cleanup, aeration, overseeding or weekly mowing.

What the agent does

Takes the address and lot details, quotes from your list, books the cleanup and first cut.

What your team gets

New clients on the right route day, with gate, dog and slope notes.

How it works

  1. Answers the whole flood

Many calls at once in the first warm week of April, so nobody gets a busy signal while you're loading the trailer.

  2. Checks you serve the street

Your service area by town and postal code. Outside it, she says so kindly and doesn't take the booking.

  3. Asks what sets the price

Front and back, corner lot or not, roughly how big, any hills, a gate into the back, a dog in the yard. Things that change the route and the quote.

  4. Quotes from your list

Cleanup, aeration, overseeding and weekly or biweekly cuts, priced by lot size from your sheet. Never a number you haven't given her.

  5. Finds the route day

Sees which crew already mows that neighbourhood and which day, and books the first cut there. When routes are full, she says so and takes a waitlist spot.

  6. Confirms by text

The cleanup date, the mowing day, and a reminder to unlock the gate and pick up after the dog.

Example call

  1. CustomerHi, do you still have room for weekly mowing? We're on Birchwood Crescent in Guelph.
  2. AI agentWe do, and we have a crew on Birchwood on Wednesdays. Is it a regular lot or a corner lot, and is there a gate into the backyard?
  3. CustomerCorner lot. Gate on the side, no dog.
  4. AI agentThanks. For a corner lot, weekly cuts are 58 dollars each. Would you like a spring cleanup first? The yard's probably full of leaves and branches after the winter.
  5. CustomerYes, it's a mess. How much is that?
  6. AI agentFor your lot size it's 245 dollars. I can do the cleanup Monday, April 21 and start your Wednesday cuts the week after.
  7. CustomerPerfect.
  8. AI agentYou're booked. I'll text you both dates. Leave the side gate unlocked on those days and you're all set.

After the call: The cleanup is on Monday's crew list and the corner lot joins the Wednesday route starting April 30, with "side gate, no dog" on the stop. The owner sees one more weekly client in the April count.

What your team gets

  • New lawns placed on the crew already working that neighbourhood
  • Cleanups, aeration and overseeding quoted from your own price sheet
  • Gate, dog, slope and corner-lot notes on every stop
  • A waitlist kept when the routes are full, in order of the calls
  • A count of new weekly clients signed each week of the spring
Set up with you: The team loads your services, prices by lot size and service area, and sets up a connection to your field-service software (Jobber, LMN, Aspire or Service Autopilot) so the agent sees route days and writes new clients and visits.

Questions

Can it decide where a new lawn goes on the route?

It books the day the crew already works that street. Changing the order of stops stays with you or your crew lead.

What if we're full for the season?

She says so honestly, takes a waitlist spot with the address and lot details, and calls back if a spot opens.

Will it quote a lot it hasn't seen?

Only from your price list by lot size. An odd-shaped or very large property is booked for an estimate instead.
