Monthly gifts that stopped, called back kindly
Most monthly donors who stop never meant to. Their card expired. She calls to thank them, mentions the gift didn't go through, and texts a secure link to fix it in a minute.
A monthly gift fails, a card is about to expire, or a donor hasn't given in the months you set.
Calls to thank them, mentions the failed gift, texts a secure update link and notes any change.
Restarted monthly gifts, the donors who chose to stop, and why, on each record.
How it works
- Finds the failed gifts
Each morning, monthly gifts that declined overnight and cards that expire next month, from your donor records.
- Calls with thanks
It starts with what their gift did this year, the meals or nights of shelter you choose to mention, not with the problem.
- Mentions the card
Plainly and without fuss: this month's gift didn't go through, probably a new card. Would they like a link to update it?
- Texts the secure link
The donor updates the card themselves on your giving page. She never asks for or hears a card number.
- Respects a change
Lowering the amount, pausing for a few months or stopping is noted with a warm thank-you, and the record is updated.
- Reports what came back
Gifts restarted, paused and stopped each month, with the monthly value recovered for your executive director.
Example call
- AI agentHi, is this Sandra? It's Emma from Elmwood Women's Shelter. First, thank you. Your monthly gift helped us keep a bed open every night this year.
- CustomerOh, that's nice to hear.
- AI agentI'm calling because this month's gift didn't go through. It looks like the card on file may have expired. Would you like me to text you a secure link to update it?
- CustomerOh, I got a new card in August. I forgot about you guys, sorry.
- AI agentNo need to be sorry, it happens to almost everyone. The link is on its way. It takes about a minute, and nothing else changes.
- CustomerGot it. I'll do it tonight.
- AI agentThank you, Sandra. If it's easier, I can check in on Friday to make sure it went through.
After the call: Sandra updates her card that evening, her monthly gift resumes on the next run, and the morning report shows one gift restarted with its yearly value.
What your team gets
- Lapsed monthly gifts restarted, with the monthly and yearly value
- Pauses and lowered amounts noted on the donor record
- Expiring cards caught before the gift fails
- A do-not-call note for donors who ask
- A monthly retention report for the executive director
Questions
Does she ask for the new card number?
Never. She texts your secure page and the donor types it in themselves.
What if the donor wants to stop?
She thanks them for everything they gave, updates the record, and doesn't try to talk them out of it.
Will long-time donors find a call too much?
It's one call about something they usually want fixed. Donors who prefer email get a short note instead, and anyone who says stop is never called again.
