Outbound: the agent calls

Friendly calls on invoices 30 days overdue

Chasing money is the call every owner puts off. The agent makes it for you, politely and on schedule, and most overdue invoices turn out to be lost in someone's inbox.

When it starts

An invoice passes the number of days overdue you choose.

What the agent does

Calls the billing contact, checks they have it, takes a pay-by date, texts the link.

What your team gets

A promised date on each invoice, and a short list of the ones that need the owner.

How it works

  1. Builds the list each morning

Invoices past the days you set, skipping clients you've marked to leave alone and any with a payment plan.

  2. Calls the billing contact

Inside business hours, with a light opening: "Just checking you received invoice 1187 from us."

  3. Finds out what's in the way

Lost email, waiting on a PO number, the person who approves it is away. Most of the time it's one of those.

  4. Fixes what it can

Resends the invoice to the right person, adds a PO number to the note, texts the payment link.

  5. Gets a date

"When do you think it'll go through?" The date goes on the invoice, and it calls again only if that date passes.

  6. Flags the rest

A client who disputes the work or can't pay goes to the owner with the call summary. It never argues.

Example call

  1. AI agentHi, is this Marie-Claude? It's Emma calling from Fraser Valley Landscape Supply. Just checking you received invoice 1187 from September.
  2. CustomerHmm, I'm not sure. What was it for?
  3. AI agentTwelve yards of triple mix and a pallet of armour stone for the Abbotsford job, 2,860 dollars. It was due October 15th.
  4. CustomerRight. I think that went to my old email. Can you send it to accounts@verdantyards.ca?
  5. AI agentDone, it's on its way now, and I've updated the address for next time. When do you think it'll go through?
  6. CustomerWe do payments Fridays. This Friday.
  7. AI agentPerfect, I'll note Friday. Thanks so much, Marie-Claude, have a good week.

After the call: Invoice 1187 went to the new accounts address, the billing contact was updated, and Friday is noted as the promised date. The payment arrived Friday, so no second call was made.

What your team gets

  • A promised pay-by date on every overdue invoice called
  • Billing contacts and emails corrected as it goes
  • Invoices resent to the right person during the call
  • Disputes and hardship sent to the owner, never argued
  • A weekly report of overdue amounts called and collected
Set up with you: The team sets up a connection to your QuickBooks Online, Xero or FreshBooks receivables, sets with you how many days overdue before a call, who never gets called, and how many reminders each invoice gets.

Questions

Won't this annoy good clients?

It calls once, politely, with the invoice details, and most clients thank it because the invoice was lost. You can leave out anyone you'd rather call yourself.

What if they say the work wasn't done right?

It listens, writes down exactly what they said and sends it to you. It doesn't argue or ask for payment again on that call.

Does it charge interest or late fees?

No. It mentions only what's on the invoice and your terms as you wrote them. Any fee decision is yours.
