Outbound: the agent calls

Check-in calls to homebound and elderly members

The members who built the congregation are often the ones nobody hears from. Each one gets a friendly call on the day you choose, and the care team hears who would love a visit or a ride.

When it starts

A member on your homebound or care list is due for a check-in.

What the agent does

Calls to say hello, asks how they are, offers a visit, home communion or a ride to service.

What your team gets

A care team list of who wants a visit, a ride or a call from clergy, and who wasn't reached.

How it works

  1. Builds the week's list

Members on your care list, each on the day and rhythm the care team set: weekly, every two weeks, or before a feast day.

  2. Calls to say hello

In the congregation's name, at a time they like. It chats, mentions what's happening, and isn't in a hurry.

  3. Offers what you offer

A visit from the care team, communion at home, a ride to the 10 o'clock, the large-print bulletin by mail.

  4. Listens for worries

A fall, a hospital stay, sounding confused or low. Those go to the care lead the same day.

  5. Books what they want

A ride on the volunteer drivers' list, a home communion visit on clergy's calendar.

  6. Reports back

Who was reached, what they asked for, and anyone who didn't answer twice, so a person can check on them.

Example call

  1. AI agentHello Mrs. Peters, it's Emma calling from Westview Mennonite. Just calling to see how you're doing this week.
  2. CustomerOh, how nice. I'm alright. My knee's been bad, so I haven't been out.
  3. AI agentI'm sorry to hear about your knee. The fall supper is a week from Saturday. Would you like a ride, so you don't have to manage the bus?
  4. CustomerOh, I'd love to go. Is there someone who could drive me?
  5. AI agentYes. One of our drivers can pick you up at 4:30 and bring you home after. And would you like Pastor Ruth to stop by before then?
  6. CustomerThat would be lovely. Thursdays are good.
  7. AI agentI'll set both up. You'll get a call from your driver the day before. Take care of that knee, Mrs. Peters.

After the call: Mrs. Peters is on the drivers' list for the fall supper at 4:30, Pastor Ruth has a Thursday visit request with "bad knee, hasn't been out", and the care lead sees the note on this week's report.

What your team gets

  • A friendly call to every member on the care list, on their rhythm
  • Rides to services and events booked with volunteer drivers
  • Home communion and visit requests sent to clergy
  • Falls, hospital stays and worries flagged to the care lead same day
  • A list of members not reached, for a personal check
Set up with you: The team writes the check-in call with your care team, sets up a connection to your membership software and care lists in Breeze, Realm or Planning Center and the volunteer drivers' schedule, and sets calling days and times.

Questions

Won't members mind a call from an AI?

It says who it is if asked, and the call is friendly and short. Most members enjoy being remembered, and anyone who'd rather not be called is taken off the list.

What if someone sounds unwell?

It asks gently if they're okay and tells the care lead the same day. If someone says they've fallen or need help now, it tells them to call 911 and alerts the care lead.

Can it call in other languages?

Yes. Many congregations call members in German, Ukrainian, Tagalog or Punjabi, and the agent speaks the language on their record.
