Inbound: the customer calls

Delayed flights and late pickups held for the counter

A renter stuck at the gate at 9 p.m. wants to know the car will still be there. The agent finds the reservation, holds it under your rules and tells them exactly how pickup works.

When it starts

A renter calls because a flight, train or the drive will get them in late.

What the agent does

Finds the reservation, holds it under your rules and gives after-hours or next-morning pickup.

What your team gets

A held reservation with the new arrival time and a note for the morning counter.

How it works

  1. Finds the reservation

By name, phone number or reservation number, and confirms the class and pickup branch.

  2. Takes the new time

Flight number and expected landing, or the new arrival time by road.

  3. Applies your rules

Held to close, held overnight, or after-hours key box. It says what your branch does, never what it doesn't.

  4. Gives the pickup steps

Where the key box is, what code arrives by text, and what to show at the counter in the morning.

  5. Adjusts the agreement

The pickup time moves, so the renter isn't charged a day they didn't drive, where your rates allow.

  6. Leaves the counter a note

The morning team sees every late arrival, who picked up and who is still coming.

Example call

  1. CustomerHi, I'm stuck in Toronto. My flight to Halifax won't land until 11:40 and you close at 10.
  2. AI agentThat's frustrating, let's sort it. What's the name on the reservation?
  3. CustomerClaire Dufresne.
  4. AI agentI see you, Claire, a compact SUV picking up tonight. We'll hold it for you. Since you land after close, pickup moves to the after-hours box by the parking garage. I'll text you a code and the bay number.
  5. CustomerAnd I don't need to come back in the morning?
  6. AI agentJust stop at the counter any time tomorrow with your licence and card to sign. I've moved your pickup to 11:40 so the times line up.

After the call: Claire's reservation is held with the after-hours flag, her pickup time moves to 11:40, a key box code goes out by text, and the morning counter has her on the list to sign.

What your team gets

  • Late arrivals held under your rules, not lost
  • Pickup times moved to the real arrival
  • Key box codes and bay numbers texted
  • A morning list of late pickups for the counter
Set up with you: The team sets up a connection to your rental software and key box system, and loads your hold, after-hours and late-pickup rules for each branch.

Questions

Can it hold a car past close?

It follows your rules: held overnight, an after-hours box, or pickup moved to the morning.

What if the class is short tomorrow?

It sees the fleet and holds the unit for the renter's new time, so it isn't given to a walk-in.

Does it track flights?

It takes the flight number and landing time, and notes it on the reservation for the counter.
