Inbound: the customer calls

Rental extensions checked against the next booking

"Can I keep it till Sunday?" is a simple question unless the van is promised to someone else Saturday morning. The agent sees the next booking and gives a real answer on the call.

When it starts

A renter calls wanting the vehicle for longer.

What the agent does

Finds the agreement, checks the unit's next booking, and extends or offers a swap.

What your team gets

An updated agreement and a counter that isn't surprised by a missing van.

How it works

  1. Finds the agreement

By agreement number, name or plate, and confirms the vehicle and current return time.

  2. Checks what's next

Is this unit, or another in the class, free through the new return time?

  3. Extends when it can

Moves the return on the agreement at your daily rate and texts the new total time.

  4. Offers a swap when it can't

If the unit is promised, it offers a swap to another in the class at the branch before the next renter's pickup.

  5. Checks the card

If your branch needs a new authorization for the extra days, it texts the renter the payment link.

  6. Puts problems through

A renter with an accident or breakdown is warm-transferred to the branch manager with the agreement number ready.

Example call

  1. CustomerHi, I've got one of your pickups. The job's running over. Could I keep it until Monday?
  2. AI agentLet me look. What's the agreement number or the plate?
  3. CustomerPlate's CKXR 418.
  4. AI agentGot it, the Silverado, due back Friday at 5. That truck is booked out Saturday morning, but I have another Silverado free through Monday. Could you swap at the branch Friday before 5?
  5. CustomerSure, I'll swing by on the way.
  6. AI agentGreat. You'll swap into the second truck Friday and keep it until Monday at 5, at the same daily rate. I'll text you the new return time and a link to update the card authorization.

After the call: The counter has a swap set for Friday afternoon, the second Silverado is reserved on the renter's agreement through Monday, Saturday's renter still gets the original truck, and the authorization link goes out by text.

What your team gets

  • Extensions approved only when the fleet allows
  • Swaps set up before the next renter arrives
  • New return times and rates on the agreement
  • Card authorizations sent by link
  • Accident and breakdown calls warm-transferred to the branch manager
Set up with you: The team sets up a connection to your rental management software and payment processor, and sets your extension, swap and authorization rules.

Questions

Can it extend without checking?

No. It checks the unit's next booking first, so a promised vehicle is never extended.

What if there's nothing free?

It tells the renter the return time stands and offers the closest class that is free, or a note to the branch manager.

Does it handle accidents?

It warm-transfers the renter to the branch manager with the agreement number, and texts the details if nobody answers.
