Inbound: the customer calls

Moving trucks and cargo vans reserved by phone

On the last Friday of the month the counter has a line and the phone rings non-stop. Every caller asking for a cargo van or a 15-foot truck hears what's free and leaves with a reservation.

When it starts

A caller wants a car, van, pickup or truck, often for a move or a job this weekend.

What the agent does

Checks the class is free for their times, explains your rules, and reserves it.

What your team gets

A reservation in the rental system and a renter who arrives with the right card.

How it works

  1. Learns the job

Moving a one-bedroom, hauling drywall, a family trip. The job tells it whether a cargo van, a pickup or a 15-foot truck fits.

  2. Checks the fleet

Sees which classes are free for the pickup and return times, and stops offering one the moment it's full.

  3. Explains the rules

Deposit, credit or debit, minimum age and the young driver fee, included kilometres and the rate after, fuel policy. Exactly as your counter says it.

  4. Offers the add-ons you sell

Dollies, furniture pads, a one-way drop at another branch. Protection products are described in your wording, never recommended.

  5. Reserves it

Under the name of the person whose card and licence will be at the counter, so nobody is turned away.

  6. Texts what to bring

Pickup time, address, licence, a card in the renter's name, and the included kilometres.

Example call

  1. CustomerHi, I need something for a move on the 30th. Just a one-bedroom, from Hintonburg to Kanata.
  2. AI agentThat's a busy day, good thing you called. For a one-bedroom, most people take our 10-foot truck. I have one free from 8 a.m. on the 30th. How long do you need it?
  3. CustomerJust the day. What do I need to bring?
  4. AI agentYour full licence and a credit card in your name for the deposit. It comes with 100 kilometres, then 39 cents a kilometre after that. Want furniture pads or a dolly with it?
  5. CustomerA dolly, yeah.
  6. AI agentAdded. Can I get your name and confirm this is the best number for you?
  7. CustomerJosh Kowalczyk, and yes.
  8. AI agentYou're set, Josh. A 10-foot truck and a dolly on the 30th, pickup 8 a.m., back by 8 p.m. I'm texting you the confirmation and what to bring.

After the call: The 10-foot truck and the dolly are reserved for the 30th under Josh Kowalczyk, the class count updates so it isn't oversold, and the confirmation text lists the licence, credit card and kilometre rate from the branch's rates.

What your team gets

  • Reservations by class and time, checked against what's free
  • Classes closed to new bookings the moment they fill
  • Add-ons like dollies and pads reserved with the unit
  • A text to every renter with what to bring
  • Calls, recordings and summaries in the portal
Set up with you: The team sets up a connection to your rental management software, loads your classes, rates, deposits, age rules and add-ons, and sets which branch gets which one-way returns.

Questions

Will it oversell the trucks?

No. It checks availability by class for the exact pickup and return times, and stops offering a class once it's full.

Can it take a deposit?

It explains the deposit and which cards you accept. The deposit is taken at the counter, or by the payment link your branch uses.

Does it handle one-way rentals?

Yes, to the branches and with the drop fee you've set.

Can it book in French?

Yes, and in many other languages. It asks before switching.
