Last season's changeover customers booked in September
Your best customers are the ones who swapped with you last season. The agent calls them before the forecast turns, fills the early bay times in order, and the storage desk knows which sets to stage weeks ahead.
The dates you set in September and March, against last season's changeover list.
Calls each customer, books a changeover slot, checks their stored set, notes tread worries.
A bay schedule filling in order, and a pull list for the storage racks.
How it works
- Builds the list
Everyone who swapped with you last season, sorted by which location stores their set and whether the tires are on rims.
- Calls in waves
A few hundred a day inside the hours you set, so the bookings spread across weeks instead of landing in one Saturday.
- Mentions their set
"We've got your four Blizzaks on rims in storage here." If the installer noted 4/32 tread last spring, it says so and offers a new-set quote.
- Books an early slot
Two open changeover times, on rims or off, wait or drop. Earliest slots go to whoever books first.
- Stages the set
Each booking adds the set to the storage desk's pull list for that day, by rack location.
- Follows up quietly
No answer gets a text with a booking link and one more call a week later. Moved away or sold the car updates the record.
Example call
- AI agentHi Luc, it's Emma from Grand River Tire in Kitchener. We're booking fall changeovers early this year. Got a sec?
- CustomerOh, already? Sure.
- AI agentWe have your four winters on rims in storage here. Last spring the installer noted the fronts at about 5/32, so they may have one season left. Want a quote on a new set while we're at it?
- CustomerJust the swap for now. Maybe quote me though.
- AI agentWill do, tire sales will text you one. For the swap I have Saturday October 24th at 8:20 or Tuesday the 27th at 5:40.
- CustomerThe Tuesday evening.
- AI agentYou're booked Tuesday the 27th at 5:40, winters on rims from storage. I'll text you the confirmation and a reminder the day before.
After the call: The Tuesday 5:40 changeover is on the bay schedule, the Ouellet set is on that day's pull list by rack, and tire sales has a quote request for winters in the size on file.
What your team gets
- Changeovers booked weeks before the first snow
- A daily pull list for the storage desk, by rack
- New-set quote requests from worn stored tires
- Customers who moved or sold the car taken off the list
- A count of who's booked, who's pending and who declined
Questions
Won't customers find a call in September too early?
Most are glad to skip the November scramble. Anyone who'd rather wait gets a callback date.
Can it quote a new set?
It gives prices from your list for common sizes, or passes a quote request to tire sales with the size and the tread reading.
What about customers who store their set somewhere else?
It still offers a time and asks them to bring the set, noting whether it's on rims.
