Inbound: the customer calls

First-snow changeover rush booked by bay

The forecast says flurries Thursday and the phone lights up with twenty calls at once. Every one is answered, every caller leaves with a time or a spot on the waitlist, and your counter keeps serving the people at the counter.

When it starts

A wave of calls the day the forecast shows snow, or the first cold spring morning.

What the agent does

Answers each call, books a changeover in the bay slots you open, keeps a waitlist.

What your team gets

A full bay schedule, a waitlist, and no busy signal.

How it works

  1. Answers the whole wave

Many calls at the same moment, each in the shop's name. No busy signal, no redialling.

  2. Asks the swap questions

On rims or off? Stored with us or bringing them in? Vehicle and plate? Pressure sensors? The answers decide how long the slot needs.

  3. Books what's actually open

Only the times your bays can take. Add two lifts for Saturday and those times are offered right away.

  4. Keeps a waitlist

When the week fills, callers can join a waitlist. A cancellation goes to the first person on it by text.

  5. Handles walk-in questions

Whether you take walk-ins during the rush, and what the wait looks like, from your rules.

  6. Confirms and reminds

A text right away and a reminder the day before, with whether to bring the set or not.

Example call

  1. CustomerHi, I need my winters on before the snow on Thursday. Do you have anything?
  2. AI agentLet me look. Are your winters on their own rims, and are we storing them for you?
  3. CustomerOn rims, and they're in my garage.
  4. AI agentOkay, so you'll bring them. What's the vehicle?
  5. Customer2021 RAV4.
  6. AI agentThis week is nearly full, but I have Wednesday at 6:50 a.m. Or I can put you on the waitlist for Tuesday and text you if a spot opens.
  7. CustomerWednesday at 6:50 works. And the waitlist for Tuesday too.
  8. AI agentDone. Wednesday at 6:50 is yours, and you're first on Tuesday's waitlist. Bring the set in the trunk, and I'll text you both.

After the call: The Wednesday 6:50 slot is booked as a rim swap with tires brought in. The caller sits first on Tuesday's waitlist and gets the slot by text when a 2:10 booking cancels that afternoon.

What your team gets

  • Every rush-day call answered, with no busy signal
  • Bookings sized right for on-rims, off-rims and sensor work
  • A waitlist that fills cancellations automatically
  • Extra Saturday lifts offered the moment they're opened
  • Confirmation and reminder texts on every booking
Set up with you: The team sets up a connection to your bay schedule and tire shop software (TireMaster, ASA Tire Systems or Tire Shop Pro), loads how long each kind of swap takes, and sets your walk-in and waitlist rules.

Questions

How many calls can it take at once?

As many as come in. The first-snow morning sounds the same to a caller as a quiet Tuesday in July.

Can I add or remove bay times in the middle of the rush?

Yes. It only offers what the schedule shows open, so a change takes effect on the next call.

Does it do installs for tires bought elsewhere?

If your shop does, it books them and notes it. If not, it says so politely and offers your own sets.
