Inbound: the customer calls

Failing-grade calls booked for an assessment

Report cards go home and the phone rings at 4:30, when every tutor is in a session. Each parent reaches someone who asks the right questions, and leaves with an assessment booked with the right tutor.

When it starts

A parent or student calls about a grade, a course or an exam coming up.

What the agent does

Learns the course and deadline, matches a tutor, books the assessment.

What your team gets

An assessment on the calendar with the course code, mark and goal noted.

How it works

  1. Answers during sessions

Between 3:30 and 8, when tutors are teaching and the front desk is greeting students, every call is picked up.

  2. Gets the specifics

Grade, course and course code, the current mark, the teacher's name if they know it, and the date of the next test or exam.

  3. Hears the rest

French immersion, an IEP, test anxiety, a busy sports schedule. Things that change who the right tutor is.

  4. Matches the tutor

By subject, grade, language and the hours the student is free, from each tutor's real availability.

  5. Books the assessment

In person or online, with what to bring: the last test, the unit outline, the textbook.

  6. Sends the packages

The centre's packages and prices from its price sheet, by text, so the parent can read them before the assessment.

Example call

  1. CustomerHi, my son Aiden is in grade ten math and he's failing. His exam is in three weeks.
  2. AI agentThree weeks is enough to make a real difference. Is that the academic course, MPM2D?
  3. CustomerYes. He got a 48 on the last unit test. Quadratics.
  4. AI agentThank you. Mr. Lindqvist tutors grade ten math and is great with quadratics. He has an assessment Wednesday at 5 or Thursday at 4:15. Which is better for Aiden?
  5. CustomerThursday. Can it be online? He has practice until 3:45.
  6. AI agentOnline works. Thursday at 4:15 with Mr. Lindqvist. Please have that unit test and his course outline handy. I'll text you the link and our package options now.

After the call: Mr. Lindqvist sees Aiden on Thursday at 4:15 online, with "MPM2D, 48 on quadratics, exam in three weeks" in the notes. The parent has the meeting link and the price sheet.

What your team gets

  • Assessments booked with the course code, current mark and exam date
  • Tutors matched by subject, grade, language and real availability
  • Package and price information sent from your own sheet
  • IEP and learning plan questions passed to the centre director
  • Calls during teaching hours answered instead of sent to voicemail
Set up with you: The team loads your subjects, tutors, packages and prices, and sets up a connection to your tutoring software (TutorBird, Teachworks or TutorCruncher) so the agent sees each tutor's schedule and books into it.

Questions

Does it know Ontario course codes?

Yes, and the course names in other provinces. It asks the parent if they're not sure.

Can it promise a grade?

No. It explains what the assessment covers and what the tutor will look at. Results depend on the work, and it says so kindly.

What about students with an IEP?

It notes the plan and books the assessment, and the centre director gets a note or a warm transfer to talk through the learning plan.

Does it work for online-only centres?

Yes. It books online sessions and texts the meeting link.
