Inbound: the customer calls

Patio and backyard build leads put through to the designer

The caller who wants an interlock patio, a retaining wall and new plantings is worth more than a whole street of mowing. They reach your designer while they're still excited, and the site visit is on the calendar before they phone anyone else.

When it starts

A homeowner calls about a patio, walkway, retaining wall, pool surround, garden or full backyard.

What the agent does

Learns the scope, timing and rough budget, warm-transfers to the designer, books the consult.

What your team gets

A site consultation with the scope, photos and timing, or the designer already talking to them.

How it works

  1. Spots the big job

Patio, interlock, natural stone, retaining wall, deck, lighting, plantings. Anything on your design-build list is treated as a lead, not a mowing call.

  2. Learns the scope

What's there now, what they picture, how big roughly, and any slope or drainage trouble. She asks like an interested friend.

  3. Asks about timing

This summer, next spring, or just dreaming. Plus whether they have a budget range in mind, if they're happy to say.

  4. Puts them through

A warm transfer to the designer, with a private summary first. If the designer is on a site, the call becomes a booked consultation.

  5. Books the site visit

Two open times on the designer's calendar, and a text asking for photos of the yard and any survey they have.

  6. Keeps it warm

Not ready until fall? She notes when to follow up and the designer gets the lead anyway.

Example call

  1. CustomerWe want to redo our backyard. It's a slope, all weeds. We're thinking a patio and some kind of wall.
  2. AI agentThat sounds like a great project. Roughly how big is the yard, and is the slope down toward the house or away?
  3. CustomerMaybe 40 by 30 feet. Slopes toward the house, and water pools by the back door in spring.
  4. AI agentThat's really useful for the designer. Are you hoping to have it done this summer?
  5. CustomerIdeally by August. We're hosting a wedding.
  6. AI agentWonderful. Simone is in the office now, I'll put you through so you can talk it over. One moment.
  7. AI agent(privately, to Simone) Backyard about 40 by 30, slopes toward the house, water pools at the back door. Wants a patio and retaining wall done by August for a wedding. Connecting.

After the call: Simone takes the call already knowing the slope, the drainage problem and the August deadline, and books a site visit for Friday. The lead is on the design board with the call summary.

What your team gets

  • Design-build callers warm-transferred with the scope said first
  • Site consultations booked on the designer's calendar
  • Slope, drainage, size and deadline noted before anyone visits
  • Yard photos and surveys requested by text
  • Leads that aren't ready kept with a follow-up month
Set up with you: The team sets up a connection to your designer's calendar and your CRM or estimating software, loads your design-build services and service area, and sets who takes the transfers.

Questions

Will it quote a patio?

No. Design-build is priced after a site visit. She books it and, if you like, shares a range you give her, such as where most patios start.

What if the designer is booked solid?

She offers the next open consultations and asks whether they'd like to be called if one opens sooner.

Does it ask about budget?

Gently, if you want it to. Callers who'd rather not say aren't pressed.
