Inbound: the customer calls

Mice, ants and wasps sorted on the first call

The caller who found droppings in the cutlery drawer is upset and dialling three companies. Yours answers first, asks the right questions, and the technician knows what they're walking into before they park.

When it starts

A homeowner or tenant calls about something they've seen, heard or been bitten by.

What the agent does

Asks your identifying questions, notes a likely pest, books the inspection and first treatment.

What your team gets

A booking with the signs in the caller's words, any photo they texted, and the pest to expect.

How it works

  1. Answers while techs are in crawl spaces

First ring, in your company's name, as many callers at once as October sends. Nobody gets the full voicemail box.

  2. Asks what they've seen

Droppings the size of rice or raisins, sawdust under the deck boards, a paper nest under the eaves, wings on the windowsill. The same questions your office manager asks.

  3. Takes a photo if they have one

A caller who snapped the insect or the droppings can text it to your number while still on the line. It lands on the booking.

  4. Notes a likely pest, never a verdict

"Sounds like mice rather than rats" goes to the technician as a note. The technician confirms on site.

  5. Books from the open routes

Finds open times on the technician's route for that area and offers two. Kids, pets, a home daycare or someone pregnant in the house is flagged on the job.

  6. Sends the prep and confirms

Texts the booking and emails your prep sheet for that pest, so the cupboards are emptied and the pet food is put away before the visit.

Example call

  1. CustomerHi, there's something living in our garage wall. We hear it chewing at night.
  2. AI agentThat's no fun to lie awake listening to. Have you seen any droppings? And if so, are they small like rice, or bigger, more like a raisin?
  3. CustomerBigger. And there's a hole by the foundation, maybe the size of a toonie.
  4. AI agentThanks, that's really helpful. That could be a rat or a squirrel, so I'll let Devon know to look at both. Do you have pets or little ones at home?
  5. CustomerA cat and a two-year-old.
  6. AI agentNoted, Devon will plan around both. I have Tuesday between 9 and 11, or Wednesday between 1 and 3, in Whitby.
  7. CustomerTuesday, please.
  8. AI agentBooked. I'll text the confirmation and email a short list of what to do before Devon comes. If you can snap the hole by the foundation, text it to this number.

After the call: Devon's Tuesday route shows the Whitby stop with "larger droppings, toonie-size hole at foundation, rat or squirrel" and the cat and toddler flagged. The homeowner texted the photo ten minutes later and it sits on the job.

What your team gets

  • Inspections booked on the right technician's route, with the signs the caller described
  • Photos of insects, droppings and entry holes attached to the job
  • Children, pets and home daycares flagged before the treatment is planned
  • Your prep sheet emailed for that pest the same day
  • Each call's recording and transcript kept for the office to replay
Set up with you: The team loads your service area, pest list, identifying questions and prep sheets, and sets up a connection to your field-service software (GorillaDesk, FieldRoutes, Briostack or PestPac) so the agent sees open route times and writes the job.

Questions

Will it tell people what the pest is?

It says what the signs sound like and notes it for the technician, in words like "that sounds like mice". The technician makes the call on site.

Will it recommend a spray or a trap?

No. Before the visit it only shares your own prep instructions. Product and treatment questions go to the technician.

What about wildlife you don't handle?

You give it the list. A raccoon in the attic or a bat in the bedroom gets a polite no and the name of whoever you refer them to.

Does it answer at night and on weekends?

Yes. Evening and weekend callers are booked into your next open times, and anything you treat as urgent reaches whoever is on call.
