Inbound: the customer calls

Tank alarms and backups moved up the route

The owner is on the truck with the hose in someone else's tank. Emma answers the alarm call, asks what's happening inside the house, and moves the real backups to the front of tomorrow's route.

When it starts

A beeping alarm panel, gurgling drains, a soggy patch over the bed, or sewage in the basement.

What the agent does

Asks your urgency questions, gives your water-use advice, books first available or transfers.

What your team gets

Urgent calls flagged for dispatch, with the tank location and what's backing up.

How it works

  1. Answers while you pump

The phone in the cab doesn't need to be picked up. Every alarm call gets Emma on the first ring, in your company's name.

  2. Asks what's happening

Is the alarm light red, are toilets slow or gurgling, is water coming up a floor drain, is it wet over the tank or bed? Short questions, one at a time.

  3. Sorts urgent from routine

Sewage in the house goes to the dispatcher now. An alarm with slow drains goes to the front of the next open day. A quiet alarm after heavy rain is booked in order.

  4. Gives your holding advice

Your words: ease off laundry, dishwasher and long showers until the truck comes, and silence the alarm with the button on the panel.

  5. Gets the truck in

Road and fire number, where the lids are, how close the truck can get, and whether the laneway takes a loaded truck during half-load season.

  6. Hands dispatch a clean brief

A text and email with the property, the symptom and the access notes, plus any photo of the alarm panel or the wet spot.

Example call

  1. CustomerThe septic alarm's going off and the basement toilet's gurgling. Can someone come today?
  2. AI agentLet's get you sorted. Is any water or sewage coming up into the house, like a floor drain or the shower?
  3. CustomerNo, nothing coming up. Just the gurgling and the alarm.
  4. AI agentOkay. Push the silence button on the alarm box, and hold off on laundry and the dishwasher until we've pumped. What's the road and fire number?
  5. Customer2187 Rideau Ferry Road. The lid's by the big maple out back.
  6. AI agentThanks. Can a truck get within about 40 metres of the maple?
  7. CustomerYeah, there's a lane right past it.
  8. AI agentGood. Today's route is full, so I've put you first tomorrow, between 8 and 10, and flagged it for Darren in case a spot opens this afternoon.

After the call: The pump-out sits first on tomorrow's route with the alarm, the gurgling, the lid by the maple and the lane access noted. Darren has a text in case a cancellation lets the truck reach Rideau Ferry Road today.

What your team gets

  • Alarm and backup calls flagged for dispatch the minute they come in
  • Sewage-in-the-house calls warm-transferred to a person
  • Fire number, lid location and truck distance on every job
  • Holding advice given in your own words
  • Every call summarized and recorded in the portal
Set up with you: The team sets up a connection to your Jobber or Service Fusion schedule and route, and writes your urgency rules with you: what counts as a backup, who gets the transfer, and the advice callers hear.

Questions

Will it tell people the bed is failing?

No. It books the pump-out or the inspection. What's wrong with the system is for your operator or inspector to say.

Can it promise a truck today?

Only when you've kept time for urgent calls on the route. Otherwise it books the first opening and flags it for dispatch.

What if they call at 2 a.m.?

It answers, gives your holding advice, books the first slot, and only wakes someone up for the cases you've marked.
