Inbound: the customer calls

Fall plowing contracts signed before the first snow

Every fall call that hits voicemail is a driveway on someone else's route all winter. The agent answers, sizes the driveway, prices it from your sheet and signs the contract, so the routes are planned before the first flake.

When it starts

A homeowner or small business calls in the fall about a seasonal contract.

What the agent does

Checks the area, sizes the driveway, quotes your rate, adds extras and signs them up.

What your team gets

A signed contract on the right route, with stakes, obstacles and extras noted.

How it works

  1. Checks the route area

By street and postal code against your routes. A driveway off the routes is quoted only if you've said to take it.

  2. Sizes the driveway

Single, double, triple or a long laneway. How many cars it holds, whether it's on a hill, and whether there's a parking pad.

  3. Prices from your sheet

Your seasonal rate for that size, plus walkway clearing, steps, salting and the end-of-drive windrow if they want them. Per-push or seasonal, as you sell it.

  4. Asks about obstacles

Interlock edges, garden beds, a basketball net, a low wall. Each goes on the stop so the operator knows where to stake.

  5. Explains the trigger

Your snowfall trigger in plain words, like "we come once 5 centimetres has fallen", and what happens in a long storm.

  6. Signs and confirms

Takes the contract, texts a summary and your payment link, and tells them when the stakes go in.

Example call

  1. CustomerHi, what do you charge for the season? Double driveway in Kanata.
  2. AI agentWe're on your street most storms. Is it a standard double that holds two cars side by side, or is it longer?
  3. CustomerTwo side by side, maybe three deep if we squeeze.
  4. AI agentThat's our large double, 685 dollars for the season. We come once 5 centimetres falls. Would you like the walkway and front steps done too?
  5. CustomerHow much for that?
  6. AI agent120 dollars for the season. Anything along the driveway the plow should avoid, like interlock or gardens?
  7. CustomerYes, there's an interlock border on the left side. And add the walkway.
  8. AI agentDone. I'll note the interlock for staking and text you the contract and payment link now. The stakes go in by mid-November.

After the call: The Kanata driveway is on the route as a large double with walkway and steps, "interlock border, left side" on the stop, and the contract and payment link in the homeowner's texts.

What your team gets

  • Seasonal contracts signed with the driveway size and extras
  • Interlock, gardens and low walls on each stop for staking
  • Your snowfall trigger explained the same way on every call
  • Payment links sent with the contract summary
  • A count of driveways signed by route, so you know when to stop selling
Set up with you: The team loads your route areas, rate sheet and snowfall trigger, and sets up a connection to your field-service software (Jobber, Service Autopilot or Aspire) and payments so the agent writes the contract and the route stop.

Questions

What if a route is full?

You tell her which routes are closed. She says so, and offers a waitlist spot or a neighbouring route if you allow it.

Can she sign commercial lots?

Small lots on your sheet, yes. Plazas, condos and anything that needs a site walk are booked as a quote with the contracts manager.

Does she explain what's not covered?

She reads your terms in plain words, such as whether the end-of-drive windrow is included and how ice is handled.
