Outbound: the agent calls

School pizza lunch counts confirmed the day before

Every Wednesday you deliver 180 slices to Maple Grove Public School. On Tuesday afternoon Emma calls the office, hears it's 164 this week because of a field trip, and the kitchen preps the right number.

When it starts

A standing order tomorrow: a school pizza lunch, a hockey team after practice, an office lunch.

What the agent does

Calls the contact, confirms the count, time and drop-off door, and updates the order.

What your team gets

The right number of pies on the rack, and no 40 slices too many on a Wednesday.

How it works

  1. Finds tomorrow's standing orders

Each afternoon it reads the recurring orders for the next day: schools, teams, offices and the church supper.

  2. Calls the right person

The school office, the team manager or the office admin, at the time of day they asked to be called.

  3. Confirms the count

Slices or pies, cheese and pepperoni split, the gluten-free and dairy-free orders by name if the school sends them.

  4. Checks the day

A PA day, a field trip, a snow day or an assembly that moves lunch. The order changes with it.

  5. Confirms the drop-off

Time, door and who signs for it. "Side door by the gym, ask for Mrs. Lee" goes on the ticket.

  6. Updates the order

The new count is on the order and the make line's prep list before the kitchen closes for the night.

  3. AI agentThanks, Karen. I have 180 slices, 120 cheese and 60 pepperoni, plus four gluten-free, for 11:30 at the gym door. Is that still right?
  4. CustomerThe grade fives are on a field trip, so take off sixteen cheese.
  5. AI agentGot it. 164 slices, 104 cheese and 60 pepperoni, four gluten-free, 11:30 at the gym door. Anything else change?
  6. CustomerNo, that's it. Thanks for calling.
  7. AI agentThanks, Karen. I'll text you the updated count for your records.

After the call: Wednesday's standing order drops to 164 slices, the make line's prep list shows the new count, and Karen has a text with the numbers.

What your team gets

  • Standing orders confirmed the day before, with the new count
  • Changes for PA days, field trips and snow days caught early
  • Drop-off time, door and contact on the ticket
  • A prep list that matches what's going out
  • A record of every confirmation on the account
Set up with you: The team sets up a connection to your POS for your recurring orders, loads each school's, team's and office's contact and calling time, and sets how far ahead the calls go out.

Questions

What if the office doesn't answer?

It leaves a short voicemail and a text with the count. If there's no reply by your cut-off, the order goes ahead as booked and the manager is told.

Can it take a new standing order?

Yes. A school or team that calls to set one up has it written down with the count, day and contact, for the owner to confirm.

Does it handle snow days?

If the board closes schools, the order for that school is flagged and the office is called to confirm before the kitchen preps.
