Outbound: the agent calls

Corporate year-end meetings booked after fiscal close

Every corporate client has a different year end, and half of them forget it's coming. She calls after each fiscal close, books the meeting, and asks for the package before it's late.

When it starts

A corporate client's fiscal year end passes, by the date on their file.

What the agent does

Books the year-end meeting, lists the documents for the package, sets a date to send them.

What your team gets

Year-ends spread across the calendar instead of piling up, with the package arriving first.

How it works

  1. Watches year ends

Each client's fiscal year end from the file, so June, September and December closes each get their call.

  2. Calls the owner

Or the bookkeeper you list, about two weeks after the close.

  3. Lists the package

Bank and card statements to the year end, loan and lease statements, payroll summary, inventory count, any big purchases. From your own checklist.

  4. Sets a send-by date

A date the owner agrees to, with a reminder text the day before.

  5. Books the meeting

With the accountant on the file, timed after the package is in, to talk through the statements and the owner's plans.

  6. Flags the changes

A new shareholder, a vehicle bought, a new location. She notes them so the file lead isn't surprised.

Example call

  1. AI agentHi Sandra, it's Emma from Whitfield and Roy. Your fiscal year closed September 30th, so it's time to start the year-end for Limestone Floors. Got a minute?
  2. CustomerAlready? Okay, sure.
  3. AI agentWe'll need the bank and credit card statements to September 30th, the truck loan statement, your payroll summary and an inventory count. Could you send those by November 7th?
  4. CustomerYes. We also bought a new van in August.
  5. AI agentGood to know. Please include the bill of sale. I'll book you with Raj for the 20th at 10 to go through it. Does that work?
  6. CustomerThat works.

After the call: Raj has November 20th at 10:00 with Limestone Floors, the file shows the package due November 7th with "new van purchased in August" noted, and Sandra gets a reminder text on the 6th.

What your team gets

  • Year-end meetings booked shortly after every fiscal close
  • Packages requested with your own checklist
  • Send-by dates agreed with the client and reminded
  • New assets, shareholders and locations noted ahead
  • Year-end work spread evenly across the calendar
Set up with you: The team sets up a connection to your practice management software for fiscal year ends and file leads, the team's calendars and your year-end checklist, and sets how long after the close she calls.

Questions

Can she call the client's bookkeeper instead of the owner?

Yes. You set who she calls on each file.

Will she talk about how much tax the company owes?

No. That conversation is for the meeting with the person on the file.

What if the package doesn't arrive?

She calls again the day after the send-by date and names what's still missing.
