"Did you get my slips?" answered from the portal
In April, the most common call is "did you get the envelope I dropped off?" She checks the file and tells them what came in and what's still missing, while your staff keep preparing.
A client calls to check that their documents arrived, or who to give them to.
Finds the client, lists what's received and what's outstanding, tells them how to send the rest.
Fewer interruptions in tax season, and a clean list of what each client still owes you.
How it works
- Finds the client
By phone number and name, and the business name for corporate clients. Couples filing together are found as one household.
- Reads what came in
T4s, T5s, RRSP receipts, the rental summary, the tuition slip. Whatever was logged as received, drop-off or portal.
- Names what's missing
Checked against last year's return and this year's list: "We have your T4, but not the T5 from your bank or your RRSP receipt."
- Says how to send it
The portal link by text, the drop box by the door, or the office hours for dropping off in person.
- Gives the stage
Waiting on documents, in preparation, in review, ready to sign. From the file, in plain words.
- Passes the questions
Questions about deductions or what to claim go to the preparer as a message, not answered on the spot.
Example call
- CustomerHi, it's Mei Lin. I dropped off an envelope Monday. I wasn't sure who to give it to.
- AI agentHi Mei. Yes, it was logged Monday. I see your T4 and your daycare receipts. We're still missing your T5 from Frontenac Savings and your RRSP slip.
- CustomerOh, the RRSP one came by email. I'll find it.
- AI agentPerfect. I'll text you the upload link so you can send both from your phone. Once they're in, your return goes to Tom.
- CustomerGreat, thank you.
After the call: Mei uploads the RRSP slip from her phone that evening, the file shows the T5 still outstanding, and Tom wasn't interrupted.
What your team gets
- Received and missing documents read from the file
- Missing slips named against last year's return
- Upload links sent during the call
- Questions about claims passed to the preparer as messages
- Far fewer "did you get it?" calls at the front desk in April
Questions
How does she know what's missing?
She compares what came in with last year's return and this year's checklist on the file.
Can she tell a client whether something is deductible?
No. That question goes to the preparer as a message, and she says it will be answered by them.
What about corporate clients?
She reads the year-end checklist the same way: bank statements, payroll summaries, the loan statement.
