Inbound: the customer calls

Spring rush sit-downs and drop-offs booked

In the last two weeks of April the phone never stops. She takes every call, books a sit-down or a drop-off, quotes your price, and texts the list, so your preparers stay at their desks.

When it starts

Anyone calling to get their taxes done, from February to the end of April.

What the agent does

Books a sit-down or drop-off, quotes your price, texts the slips and receipts to bring.

What your team gets

A full, orderly schedule and clients who arrive with everything in the envelope.

How it works

  1. Sit-down or drop-off

She explains both, and the upload option, and books what the caller prefers.

  2. Sizes the return

Single or couple, students, seniors, self-employed, rental income, a newcomer filing for the first time. Each gets the right slot length.

  3. Quotes your price

From your price list: basic return, couple, student, senior, self-employed, the rental add-on. Never a guess.

  4. Texts the list

Slips by type, RRSP and donation receipts, medical and daycare receipts, rent receipts for the Ontario Trillium Benefit, last year's notice of assessment.

  5. Watches the date

Close to April 30, she says plainly which days are left and books the next open slot.

  6. Covers the questions

Hours, parking, whether to bring the spouse, refund timing in the words you give her. Tax questions go to a preparer.

Example call

  1. CustomerHi, are you still taking people? I need my taxes done before the deadline.
  2. AI agentWe are. Would you like to sit down with a preparer, or drop off your papers and pick up later?
  3. CustomerCan I just drop off? I work weird hours.
  4. AI agentAbsolutely. Is it just you, and do you have anything like self-employment or a rental?
  5. CustomerJust me. I drive for a delivery app on weekends, though.
  6. AI agentThanks, that counts as self-employed. That return is 140 dollars. You can drop off any time we're open, 9 to 8. Should I text you the list?
  7. CustomerYes, please.
  8. AI agentDone. Bring your T4, the yearly summary from the app, gas and phone receipts, and last year's notice of assessment.

After the call: A drop-off is logged with "T4 plus delivery app income, self-employed rate quoted", and the caller has a text with the list and the office hours.

What your team gets

  • Sit-downs and drop-offs booked by return type
  • Prices quoted only from your list
  • Slip and receipt lists texted after every call
  • Gig and rental income spotted before the client arrives
  • Every call answered on April 29th, too
Set up with you: The team sets up a connection to your booking calendar and your tax software's client list, and loads your hours, prices by return type and the slip lists you give clients.

Questions

Will she answer tax questions?

She answers hours, prices and what to bring. Questions about what can be claimed go to a preparer.

Can she handle 60 calls an hour?

Yes. She answers many calls at once, so the last week of April sounds the same as February.

Does she speak other languages?

Yes: French, Punjabi, Arabic, Tagalog, Mandarin and many more. She asks before switching.

Can people send documents instead of dropping off?

Yes. She texts your upload link, and the file shows when it arrives.
