Outbound: the agent calls

Forgotten orders called before they're donated

Every cleaner has a rack of suits and parkas paid for by nobody. The agent calls each customer at 30 days, again before your donation date, and most of those orders walk out the door with the balance paid.

When it starts

An order still on the rack past the number of days you set.

What the agent does

Calls the customer, says what's waiting and what's owed, sets a pickup day, explains your donation policy.

What your team gets

Space back on the rack, balances collected, and a clear record before anything is donated.

How it works

  1. Finds the old orders

Each week: orders racked and not picked up after 30 days, or whatever limit you set.

  2. Calls with the details

What's waiting, when it was dropped off and the balance owing, from the order.

  3. Sets a pickup day

Asks when they can come and texts them the hours and the ticket number.

  4. Offers delivery if you do it

Shops with pickup and delivery can add the order to the next route.

  5. Explains the donation date

Your policy in your words, said kindly, with the date the order would be donated.

  6. Keeps the record

Every call, voicemail and text is logged on the order, so the counter knows the customer was told.

Example call

  1. AI agentHi, is this Ms. Chen? It's Emma from Elgin Street Cleaners. You have a wool coat and two sweaters ready here since May 3rd.
  2. CustomerOh no, the winter coat! I completely forgot.
  3. AI agentHappens all the time once spring hits. The balance is 41 dollars. When could you pick them up?
  4. CustomerSaturday morning?
  5. AI agentWe're open 9 to 3 on Saturday. I'll text you the ticket number and hours. We hold orders 90 days, so you're well within that.
  6. CustomerThank you so much.

After the call: Ms. Chen's order shows the call, the Saturday pickup and the text with her ticket number. She collected the coat and sweaters that Saturday and paid the 41 dollars at the counter.

What your team gets

  • Unclaimed orders called at your limit
  • Balances owing collected at pickup
  • Delivery-route pickups added where you offer them
  • Every call and text logged on the order
  • A shorter rack before your donation date
Set up with you: The team sets up a connection to your order software for racked orders, dates and balances, and sets with you the days before calling, the follow-up schedule and the donation wording.

Questions

How many times does it call?

As many as you set. Many shops call at 30 days and again two weeks before the donation date, with a text each time.

What if the number is out of date?

It tries the email on the order if there is one, and the order goes on a list for the counter.

Can it take payment over the phone?

It texts your payment link if you use one. Otherwise the balance is paid at pickup.
