Outbound: the agent calls

Foster homes called when kittens arrive

Kitten season brings a litter through the door every day. Instead of a coordinator texting thirty fosters, she calls the right ones and books the pickup with the first yes.

When it starts

A litter, a nursing mother or an animal recovering from surgery needs a foster home.

What the agent does

Calls approved fosters who fit, describes the animals, books the pickup with the first yes.

What your team gets

A foster placed fast, the pickup booked, and a coordinator who stays with the animals.

How it works

  1. Sees the need

Five kittens at four weeks, a mother cat nursing, a dog home after surgery. Entered by staff with what they need.

  2. Picks who to call

Approved fosters who take that kind of animal, have room now, and weren't asked yesterday.

  3. Describes the animals

Age, health, how long, what you supply, like formula, litter and vet visits.

  4. Books the pickup

The first yes gets a pickup time and a text with what to bring.

  5. Stops when it's placed

Once a foster says yes, the calls stop and others are thanked if they called back.

  6. Keeps the roster fresh

Fosters who are on holiday or full for now are marked, so they're not asked again too soon.

Example call

  1. AI agentHi Alex, it's Emma from Northshore Animal Rescue. We have a litter of four kittens, about five weeks old, who came in this morning. Do you have room for a few weeks?
  2. CustomerAw. How long do you think?
  3. AI agentAbout three to four weeks, until they're big enough to be spayed and neutered. We'll send food, litter and a carrier, and vet visits are on us.
  4. CustomerOkay, yes. I can take them.
  5. AI agentThank you so much. Could you pick them up today at 4 or tomorrow at 10?
  6. CustomerToday at 4.
  7. AI agentPerfect. I'll text you the address and what to bring. Ask for Sara at the front desk.

After the call: The litter's record shows Alex as their foster with pickup at 4 p.m., Sara has the supplies ready, and the remaining fosters on the list aren't called.

What your team gets

  • Fosters placed the same day the animal arrives
  • Pickups booked with supplies ready
  • A foster roster that knows who's away or full
  • A record of foster placements by season
Set up with you: The team sets up a connection to your shelter software (Shelterluv, PetPoint, Shelter Manager or RescueGroups) for animals and foster homes, and sets with your foster coordinator who gets called for what, the calling hours and how many to ask at once.

Questions

Can she sign up new fosters?

Yes. Inbound foster enquiries are logged with their home, pets and availability for your coordinator to approve.

Does she call everyone at once?

You choose. Some shelters call one at a time, others call three at once and take the first yes.

What if nobody says yes?

She tells the coordinator right away, so staff can make a plan for the animal.
