Inbound: the customer calls

Missing tax receipts resent while the donor waits

Every spring, donors filing their taxes call about a receipt that went to an old email. She finds the gifts, resends the receipt your system already issued, and the donor hangs up sorted.

When it starts

A donor calls in receipt season about a missing, wrong or combined receipt.

What the agent does

Confirms who they are, finds the gifts and the issued receipt, resends it, and updates the email or address.

What your team gets

A resent receipt logged on the record, or a correction request with everything donor relations needs.

How it works

  1. Confirms the donor

Name plus the phone, postal code or email on file. Receipts only go to the address on the record, or one the donor updates after she confirms them.

  2. Finds the gifts

Every gift in the tax year, one-time and monthly, with dates and amounts she can read back so the donor knows it's the right list.

  3. Resends the receipt

The official receipt your system already issued, to the email on file. She never writes or changes a receipt herself.

  4. Fixes the contact

A new email or a move from Halifax to Dartmouth is updated on the record so next year's receipt arrives on its own.

  5. Sends corrections on

A misspelled name, a gift under a spouse's name or a cheque that seems to be missing goes to donor relations as one complete request.

  6. Says when to expect it

Resends land in minutes. Corrections get the timeline your donor relations team gives her, and she texts when it's done.

Example call

  1. CustomerI'm doing my taxes and I can't find my receipt from you for last year.
  2. AI agentLet's find it. Can I have your name and the postal code on your account?
  3. CustomerRaj Patel, B3H 2Y5.
  4. AI agentThanks, Mr. Patel. I see twelve monthly gifts of 40 dollars last year and one gift of 200 in November, all on one receipt. It went to rpatel at a Sympatico address. Is that still yours?
  5. CustomerNo, that's ancient. Use raj.patel.ns at Gmail.
  6. AI agentUpdated. I've resent last year's receipt to your Gmail just now, and future ones will go there too. Could you check it arrived while I'm here?
  7. CustomerYep, it's there. Thanks.

After the call: Mr. Patel's record has the new email, the resend is logged with the time, and donor relations sees a resolved receipt call in the daily summary instead of a voicemail to return.

What your team gets

  • Receipts resent from what your system already issued, logged on the record
  • Email and mailing address updates made after the donor is confirmed
  • Correction requests with the gift dates, amounts and the donor's words
  • A spring report of receipt calls, resolved and passed on
Set up with you: The team sets up a connection to your donor database and receipting (CanadaHelps, Keela, Bloomerang or Raiser's Edge NXT), and agrees with donor relations how donors are confirmed and which corrections stay with staff.

Questions

Can she issue a new receipt?

She resends the receipt your system already issued. A new or corrected receipt is issued by donor relations, and she sends them the request with everything filled in.

What if the gift came through a giving platform?

She explains that platform gifts are receipted by the platform and texts the donor where to find it, so they aren't waiting on you for it.

How does she know it's really the donor?

She matches the name with the phone, postal code or email on file before she reads out any gift or sends anything.
