Inbound: the customer calls

Year-end gifts and monthly sign-ups by phone

The last week of December is when your donors call, and it is also when your office is closed. Every one of them is answered, thanked and handed a way to give before midnight on the 31st.

When it starts

A donor calls to give, raise a monthly gift, give in memory of someone or ask how to donate shares.

What the agent does

Thanks them, explains the options you accept, texts the secure link and notes tributes and matches.

What your team gets

A gift on the donor's record, a tribute card request if there is one, and a note for donor relations.

How it works

  1. Thanks them first

Before anything else. A donor who calls on December 30 has gone out of their way, and she says so in her own words.

  2. Finds the donor

By phone number or name in your donor records, so she knows a first-time giver from someone who has given every Christmas since 2014.

  3. Explains how to give

Online, monthly, cheque, e-transfer or a gift of shares, only the ways you accept, with your mailing address and the postmark rule for year-end cheques.

  4. Texts the secure page

She never takes a card number on the phone. The donor gets a text with your giving page, already set to the fund or campaign they named.

  5. Captures the dedication

"In memory of my mother, Rose." The tribute name and who gets the card go on the gift, spelled back to the caller.

  6. Flags the bigger gifts

Shares, a gift in a will or anyone talking about a large amount gets a same-day callback note for the executive director.

Example call

  1. CustomerHi, I want to make my donation before the year's over. Is anyone there today?
  2. AI agentYou've reached Harbourside Food Bank, I'm Emma. Thank you so much for thinking of us. I can help you give right now. Would you like to give once, or monthly?
  3. CustomerOnce. And I'd like it to be in memory of my husband, Gerald. He used to volunteer with you.
  4. AI agentThat's a lovely way to remember him. I'll text you our secure giving page with the tribute already set to Gerald. Is there someone who should get a card letting them know?
  5. CustomerMy daughter, Anne Gauthier, in Moncton.
  6. AI agentGot it, a card to Anne Gauthier in Moncton. The link is on its way. Gifts made online before midnight on the 31st count for this year.
  7. CustomerPerfect, I'll do it now.

After the call: The caller's record shows a tribute gift started in memory of Gerald, donor relations has the card request for Anne Gauthier, and the volunteer team gets a note that a past volunteer's family gave in his name.

What your team gets

  • Gifts and tributes noted on the donor's own record
  • Card requests with the honouree's name spelled the way the family gave it
  • Same-day callback notes for share gifts and gifts in wills
  • A text with the secure giving page to every caller who wants one
  • A daily list of calls between Christmas and New Year's
Set up with you: The team loads your giving options, funds and mailing address, sets up a connection to your donor database and online giving page (CanadaHelps, Keela, Bloomerang or Raiser's Edge NXT), and sets who gets tribute and major-gift notes.

Questions

Does she take credit card numbers?

No. She texts your secure giving page and explains cheque and e-transfer if you accept them. Card details are only ever typed by the donor.

Can she start a monthly gift?

She texts the monthly sign-up page set to the amount and fund the donor chose, and notes the plan on their record so donor relations can welcome them.

What about a gift of shares?

She explains that you accept them, takes the donor's name and contact, and asks the person who handles share transfers to call them the same day.

Who answers on December 31 if our office is closed?

She does, all day and into the evening, so a donor at 10 p.m. hears the same warm thank-you as one at noon.
