Inbound: the customer calls

Birthday parties, gym and ice rentals booked

Rentals bring in steady money, and most requests come in at night. She checks what's really open, books the party room or the ice, and sends the details while the parent is still excited.

When it starts

A caller wants a party package, gym time for a team, an ice slot or a room for a meeting.

What the agent does

Checks open times, explains the package and rates you set, books it and texts the details.

What your team gets

A booking in the facility schedule with the group, size and add-ons, ready for a permit.

How it works

  1. Learns the event

A seventh birthday, a beer-league practice, a quilting guild. Date, time, how many people and what space.

  2. Checks what's open

Real openings in the facility schedule, including setup and cleanup time around the slot.

  3. Explains the package

The party package with pool time, the room and the pizza add-on, or the hourly ice rate, from your rate sheet.

  4. Books and holds

The booking goes in with a hold until the deposit is paid, under the rules you set.

  5. Sends the details

A text with the date, the room, the arrival time and the link to pay the deposit and sign the rental form.

  6. Sends the big ones up

Tournaments, weekly league ice for a full season and anything outside your standard rentals go to facility bookings.

Example call

  1. CustomerHi, I'd like to book a birthday party for my daughter. She's turning seven. Saturday the 12th?
  2. AI agentHappy early birthday to her. On Saturday the 12th the swim party package is open at 1 p.m. or 3:30. It's an hour in the pool and an hour in the party room. Would either work?
  3. Customer1 p.m. How many kids can we have?
  4. AI agentUp to fifteen kids, with two lifeguards included. The package is 285 dollars, and a 50 dollar deposit holds it. Would you like to add pizza?
  5. CustomerYes, pizza for fifteen.
  6. AI agentBooked: Saturday the 12th at 1, swim party with pizza for fifteen. I'll text you the deposit link and the form. Please arrive fifteen minutes early to check in.

After the call: The party is in the facility schedule with the pool and party room held, aquatics sees two lifeguards needed at 1 p.m., and the parent has a text with the deposit link and the rental form.

What your team gets

  • Bookings in the facility schedule with group, size and add-ons
  • Holds released on your rules if the deposit isn't paid
  • Staff needs, like lifeguards or rink attendants, noted on the booking
  • Tournament and season requests passed to facility bookings
  • Rental revenue booked after hours, by type
Set up with you: The team loads your rental packages and rate sheet, sets up a connection to your facility booking system (ACTIVE Net, Amilia SmartRec, PerfectMind or CivicPlus) and payment links, and sets which bookings need staff approval first.

Questions

Does she quote prices?

Only the packages and rates on your rate sheet. Custom requests get a callback from facility bookings with a quote.

Can she book a full season of ice?

She takes the request with the team, nights and times and passes it to facility bookings, since season allocations need a person.

What about insurance forms?

She texts the forms you require with the booking and notes which ones are still missing.
