Inbound: the customer calls

Registration-morning sign-ups taken by phone

Fall registration opens at 7. By 7:04 the website is crawling and every line is lit. She answers all of them at once, places each child in the right class and holds the spot.

When it starts

A parent calls to register for swim lessons, camps, skating or any program, often in the first hour.

What the agent does

Checks the child's level and age, finds a class with room, registers them and explains payment.

What your team gets

Registrations in the system with the right level, and the tricky ones passed to programs staff.

How it works

  1. Answers every line

Fifty parents at 7 a.m. are fifty answered calls. Nobody hears a busy signal or redials for an hour.

  2. Finds the right level

From what the child passed last session or the level descriptions you wrote. Not sure? She suggests the assessment class.

  3. Checks real openings

She sees the live count in each class, so she never offers a Saturday spot that filled a minute ago.

  4. Registers and holds

The child is enrolled under the family's account, or a new one is created with the details you need.

  5. Explains payment

Your payment rules, the deadline to pay before the spot is released, and your fee assistance program if a parent asks.

  6. Passes on the rest

A child needing supports, a sibling discount question or a switch after the deadline goes to the programs coordinator, warm when they're free.

Example call

  1. CustomerHi, I've been trying the website since seven. I need Preschool 3 for my son, Saturday morning if possible.
  2. AI agentI can do that by phone. Saturday Preschool 3 at 9:30 has two spots left. What's your son's name and birthday?
  3. CustomerMateo Silva, March 3rd, 2021.
  4. AI agentThanks. Mateo is registered for Preschool 3, Saturdays at 9:30, starting September 14. Do you have an account with us already?
  5. CustomerYes, under Ana Silva.
  6. AI agentFound you. It's on your account now. Payment is due within 48 hours to keep the spot. I'll text you the confirmation with the link.

After the call: Mateo's spot is in the registration system on the family account, the class shows one spot left, and Ana has a confirmation text with the payment link and the 48-hour hold.

What your team gets

  • Registrations entered under the family account, in the right level
  • Spots held with your payment deadline
  • Children needing supports passed warm to the programs coordinator
  • A count of calls answered in the first hour of registration
  • A waitlist entry for every class that was full
Set up with you: The team sets up a connection to your registration system (ACTIVE Net, Amilia SmartRec, PerfectMind or CivicPlus), loads your level descriptions and payment rules, and sets which requests go to programs staff.

Questions

Can she take payment?

She explains your payment rules and texts the family's payment link. Card numbers are never read over the phone.

What if the class is full?

She offers the nearest time or another location, and adds the child to the waitlist with the times the family can do.

Does she know resident and non-resident rules?

Yes, from what you give her, including early registration windows and resident fees by postal code.
