Inbound: the customer calls

"Someone called me from here" traced

"I'm returning a call, I didn't catch the name" usually means a hunt around the office. The agent checks who dialled that number and connects the caller in seconds.

When it starts

A caller says they missed a call from your business and don't know who it was.

What the agent does

Looks up their number in the outgoing call log, finds who called, and connects them.

What your team gets

The staff member gets their call back, and nobody walks the office asking who phoned.

How it works

  1. Hears the problem

"Someone from your company called me yesterday." It asks for the number they were called on if it isn't the one they're calling from.

  2. Checks the outgoing log

Finds every call from your lines to that number in the last few days, with who made it and when.

  3. Reads any note left

If the staff member logged the call against a client or job, it sees what it was about and can say so.

  4. Connects them

If that person is free, a warm transfer: "Mike, it's the customer you called about the deposit." If not, a message straight to Mike.

  5. Handles no match

If nobody called that number, it says so plainly, asks what the call might have been about, and routes it from there.

Example call

  1. CustomerHi, I had a missed call from this number this morning. No message. I don't know who it was.
  2. AI agentLet me look. Is 613-555-0187, the number you're calling from, the one that got the call?
  3. CustomerYeah, that's my cell.
  4. AI agentThanks. That was Priya in our accounts team, at 10:20. Her note says it's about a deposit on your kitchen order. She's free, shall I put you through?
  5. CustomerOh, right, the deposit. Yes please.
  6. AI agentOne moment. Priya, it's Janet Côté returning your 10:20 call about the kitchen deposit.

After the call: Priya picked up already knowing it was Janet about the deposit. The call is logged against Janet's order, so the next person who looks sees the deposit was discussed.

What your team gets

  • Returned calls connected to the person who made them
  • No more walking the office asking who phoned someone
  • The reason for the original call, when it was logged
  • A clear message when the caller can't be put through
  • A record of who returned which call
Set up with you: The team sets up a connection to your phone system's call history (RingCentral, 3CX, Teams Phone or your carrier's portal) and to your CRM or job software for call notes, and sets which staff can take transfers.

Questions

What if several people called them?

It reads out who called and when, most recent first, and asks which one they'd like. Usually the note on the call makes it clear.

Will it say why we called?

Only what the staff member noted, in general terms. Account details stay for when the caller is talking to the person who knows them.

What if it was a cell phone, not the office line?

If your team's cell calls go through your business phone app, they're in the log too. If not, it takes a message for the whole team.
