Inbound: the customer calls

Hospital visit and prayer requests to clergy

"Mom's at the General and she's asking for Father." That message used to sit on the machine until Tuesday. Now clergy have the name, the floor and the visiting hours within a minute.

When it starts

A member or family asks for a visit, communion, a blessing or prayer for someone.

What the agent does

Writes down who, where, when and what they'd like, and whether it can be shared with the prayer chain.

What your team gets

A private text and email to clergy, and a prayer chain entry only when the family says yes.

How it works

  1. Listens first

People often start with the hard news. It lets them, and doesn't hurry to the questions.

  2. Gets what clergy need

The person's name, the hospital or care home, the floor or room, and the best time to visit.

  3. Asks what they'd like

A visit, communion, anointing, a blessing, or prayer. Whatever your tradition offers, in your words.

  4. Asks about sharing

Whether the name can go to the prayer chain or the bulletin, or should stay with clergy only.

  5. Sends it right away

A text and email to the clergy member you set, kept apart from other messages, with the caller's number.

  6. Flags the urgent ones

Someone near death, or a family in crisis, goes to the clergy member on call as a warm transfer, not a message.

Example call

  1. CustomerHi, I don't know if this is the right number. My dad's in Kingston General and he's been asking for Father Tomas.
  2. AI agentIt's the right number, and I'm sorry your dad's in hospital. What's his name?
  3. CustomerAndriy Kowalchuk. He's on the 5th floor, the cardiac unit.
  4. AI agentThank you. Would he like Father Tomas to bring communion, or is it more a visit to pray with him?
  5. CustomerCommunion, if he can. Afternoons are best.
  6. AI agentI'll pass that on now. May I share your father's name with the parish prayer list, or keep it with Father Tomas only?
  7. CustomerThe prayer list is fine. He'd like that.
  8. AI agentThen it's done. Father Tomas has his name, the 5th floor cardiac unit and afternoons. What's the best number for you?

After the call: Father Tomas got a private text with Andriy's name, room, "communion, afternoons" and his son's number, and visited the next afternoon. Andriy's name went on the prayer list because the family agreed.

What your team gets

  • Visit requests with the name, hospital, floor and best time
  • What the person would like: a visit, communion, a blessing or prayer
  • The family's choice about sharing, recorded every time
  • Private messages to clergy, kept apart from rentals and admin
  • Urgent requests put through to clergy on call
Set up with you: The team writes the request questions with your clergy, sets up a connection to your membership software, such as Breeze, Realm or ParishSOFT, for member records and the prayer list, and sets who gets visit requests and who is on call.

Questions

Does it pray with callers?

No. It listens kindly and makes sure the request reaches clergy. Prayer and pastoral care come from your clergy and care team.

Who sees these requests?

Only the clergy member or care team you choose. The prayer chain sees a name only when the family has said yes.

What if the person is dying?

It treats that as urgent and warm-transfers to the clergy member on call, with a short summary first.
