Inbound: the customer calls

Parish hall rentals for showers and celebrations

Hall rentals help heat the building. The agent turns every "is the hall free on the 12th?" into a held date with the details your rentals volunteer needs, even on weeks the office is closed.

When it starts

Someone asks to rent the hall, a meeting room or the kitchen for an event or a regular group.

What the agent does

Checks the room calendar, gives your rate, explains your rules, holds the date.

What your team gets

A hold with the event, headcount, kitchen use and contact, and the rental form on its way.

How it works

  1. Asks about the event

A baby shower, a 90th birthday, a reception after a funeral, a weekly community group. Date, hours and how many people.

  2. Checks the room calendar

The main hall, the lower room, the kitchen. Around worship, youth nights and the groups that meet every week.

  3. Gives your rate

Members and non-members, half day or full, kitchen and cleaning, from the rental sheet your council approved.

  4. Explains the house rules

No alcohol, or alcohol with a permit. Setup and takedown times. Your rules, said kindly.

  5. Holds the date

With the renter's name and number, and emails the rental agreement and how to pay the deposit.

  6. Tells the volunteer

The person who handles rentals gets a text with the details, so the key and the kitchen are ready.

Example call

  1. CustomerHi, we're throwing my sister a baby shower and wondered if the hall is free on Saturday, March 8th.
  2. AI agentCongratulations to your sister! The lower hall is free that afternoon. How many guests, and would you like the kitchen?
  3. CustomerAbout 40. Yes to the kitchen, we're bringing food.
  4. AI agentThe lower hall seats 60, so that's comfortable. For non-members it's 225 dollars for the afternoon with the kitchen, and a 100 dollar deposit. The building is alcohol-free, just so you know.
  5. CustomerThat's fine. Can I book it?
  6. AI agentI've held March 8th from 11 to 5 for you. The rental agreement is on its way by email. Once the deposit's in, Gord, our rentals volunteer, will be in touch about the key.

After the call: March 8th shows as held on the hall calendar with "baby shower, 40, kitchen". Gord got a text with the renter's number, and the deposit came in by e-transfer two days later.

What your team gets

  • Held dates on the hall calendar with the event, headcount and kitchen use
  • Rates from your rental sheet, member and non-member
  • House rules on alcohol and setup times explained the same way each time
  • Rental agreements and deposit instructions emailed on the call
  • A text to the rentals volunteer for every new booking
Set up with you: The team loads your rooms, capacities, rental sheet and rules, sets up a connection to your room booking calendar in Planning Center, ChurchSuite or Google Calendar and your e-transfer or Tithe.ly payment page, and sets who gets rental texts.

Questions

Can it handle weekly groups like AA or a seniors' club?

Yes. It books recurring times around your services and programs, and flags any week a big event needs the room.

What about receptions after a funeral?

It checks the hall gently and quickly, holds the time, and lets clergy and the rentals volunteer know, since those often come together.

Does it take the deposit?

It sends your e-transfer address or online giving link for rentals. The date is confirmed when the deposit arrives.
