Inbound: the customer calls

Wedding dates held after marriage prep is booked

Couples often call a year out, and they call several churches. The agent tells them which Saturdays are really open, explains your steps, and books their first meeting with the priest or pastor.

When it starts

A couple asks about getting married, or parents ask about a baptism or dedication.

What the agent does

Checks the calendar, explains your steps, books marriage prep or the first meeting with clergy.

What your team gets

A tentative date and a meeting on the calendar, with the couple's names and any family connection.

How it works

  1. Hears what they're planning

A wedding or a baptism, the season or date they have in mind, and whether either of them belongs to the congregation.

  2. Checks the calendar

The sanctuary and the officiant both, so a free Saturday with the priest away isn't offered.

  3. Explains your steps

Membership, notice needed, marriage preparation, banns, the baptism class. In the order your clergy set them.

  4. Books the first meeting

With the priest, pastor, rabbi or imam, at the times they keep for couples, and in the marriage prep course if you require it first.

  5. Holds the date your way

As tentative until the meeting, or not at all until prep starts. Whatever rule your office follows.

  6. Sends the information pack

Fees from your schedule, music and photography guidelines, and what to bring to the first meeting, by email.

Example call

  1. CustomerHi, we're getting married next year and we'd love to do it at St. Columba's. My grandparents were married there.
  2. AI agentThat's wonderful. Do you have a date or a month in mind?
  3. CustomerSeptember. A Saturday, ideally the 19th.
  4. AI agentSeptember 19th is open, and Reverend Joan is here that weekend. Before a date is held, couples meet with her and sign up for the marriage course in the spring. Shall I book that first meeting?
  5. CustomerYes. What does she have?
  6. AI agentTuesday the 3rd at 7 in the evening, or Saturday the 7th at 10. ... The 7th at 10, perfect. I've pencilled in September 19th and noted your grandparents were married here. Joan will love that.
  7. CustomerThank you so much.

After the call: Reverend Joan has Saturday the 7th with the couple's names and the family history in the note. September 19th shows as tentative on the parish calendar, and the information pack went to the couple's email.

What your team gets

  • First meetings with clergy booked at the times they keep for couples
  • Dates checked against both the sanctuary and the officiant
  • Tentative holds that follow your own rules
  • Marriage prep and baptism class sign-ups taken on the call
  • Information packs with fees and guidelines emailed to families
Set up with you: The team writes your ceremony steps with clergy, sets up a connection to your parish calendar and management software, such as ParishSOFT, Planning Center or Realm, and sets which times each officiant keeps for meetings.

Questions

Will it hold a date without our okay?

Only as your office does it. Many congregations hold a date as tentative until the first meeting with clergy, and the agent follows that rule.

Can it handle couples who aren't members?

Yes, by your policy. It explains what you ask of non-members and books the meeting where clergy can talk it through.

What about funerals in the church?

Those come from families or the funeral home, and go to clergy right away. They are never handled like a booking enquiry.
