Inbound: the customer calls

Site problems put through to the project manager

A client with an empty site at 9 a.m. doesn't want a voicemail. The agent checks what was supposed to happen, puts them through to their PM with the summary read first, and takes a full message when the PM is on a roof.

When it starts

A client mid-project calls: nobody showed, a delay, a crack, a smell, a bill they didn't expect.

What the agent does

Finds the job, reads what the schedule says, warm-transfers to the PM with a private summary.

What your team gets

A PM who picks up already knowing the problem, or a written message with the details.

How it works

  1. Knows it's a client

From the phone number or the address, matched to the active job and their PM.

  2. Checks the schedule

Who was due today and when. "The drywall crew was booked for 8 this morning" tells the client they were heard.

  3. Hears the whole concern

A no-show, a delay, a leak found behind the vanity, a cost they didn't expect. Asked calmly, without guessing why.

  4. Puts them through

A warm transfer to their PM, with a private summary first, so the PM starts with the answer, not the question.

  5. Messages when the PM is busy

A text and email to the PM with the problem, and a time the client can expect a call.

  6. Logs it on the job

What was said and when, so the office has the full story at the end of the project.

Example call

  1. CustomerHi, it's Amanda Kowalski on Fernbank. The drywallers were supposed to start at 8 and nobody's here.
  2. AI agentThanks for calling, Amanda. I see the drywall crew booked for 8 this morning, so something has changed. Steve is your project manager. Let me see if he can take the call now.
  3. CustomerPlease.
  4. AI agent(privately, to Steve) Amanda Kowalski, Fernbank. Drywall crew booked for 8 isn't on site. She's at home. Connecting.
  5. AI agentAmanda, I have Steve on the line now. Go ahead.

After the call: Steve picks up knowing the drywall crew is missing and Amanda is home, calls the crew and calls her back with a start time. The call is logged on the Fernbank job.

What your team gets

  • Client calls matched to the active job and their PM
  • Warm transfers with a private summary first
  • Messages with the problem when the PM is busy
  • Every client concern logged on the job with the date
  • Fewer calls landing on the owner's cell
Set up with you: The team sets up a connection to your active jobs and schedules in JobTread, Buildertrend or Jobber and your PMs' phones, and agrees with you which concerns go through right away and which become a message.

Questions

Will it explain why the crew didn't show?

No. It reads what the schedule says was due and leaves the why to the PM, who actually knows.

What about a real emergency on site, like a leak?

Water, gas, power or anything unsafe goes through to the PM or your on-call person first, every time. Danger to people means 911.

Can it give a new completion date?

Only a date your PM has put on the schedule. It never moves a date itself.
