Outbound: the agent calls

Subtrades confirmed the day before they start

A tiler who doesn't show costs you a day and an angry client. The agent calls every sub on tomorrow's schedule the afternoon before, and your PM hears about a no in time to fix it.

When it starts

A subtrade on tomorrow's project schedule: drywall, tile, electrical, plumbing, flooring, paint.

What the agent does

Calls to confirm the time and address, checks materials and access, records yes, no or late.

What your team gets

A confirmed board for tomorrow, and an alert to the PM for every no while there's time to fix it.

How it works

  1. Reads tomorrow's schedule

Each afternoon, every sub booked to start or return tomorrow, on every job.

  2. Calls the sub

"You're on the Fernbank basement tomorrow at 8, taping the second coat. Still good?" Short, the way a site super asks.

  3. Checks what they need

Is the material on site, does the lockbox code still work, is the previous trade finished. Anything off goes to the PM.

  4. Records the answer

Yes, no or later, on the schedule, with the sub's own words.

  5. Flags the PM on a no

Right away, with the job, the trade and the reason, so the PM can call a backup or warn the client before 8 a.m.

  6. Tells the client if you want

With the PM's say-so, a short text to the homeowner about who's coming tomorrow and when.

Example call

  1. AI agentHi Marco, it's Emma from Grayhaven. You're on the Kowalski basement on Fernbank tomorrow at 8 for the shower tile. Still good?
  2. CustomerYeah, I'll be there. Is the tile delivered though? Last time it wasn't.
  3. AI agentThe schedule shows the tile delivered Tuesday. Steve marked it in the garage. The lockbox code is the same as last week.
  4. CustomerOkay good. I might be 8:30, I'm finishing a job in Stittsville.
  5. AI agentNo problem, I'll put 8:30 on the board and let Steve know. Thanks Marco.

After the call: The board shows Marco confirmed for 8:30, Steve has a note that he's half an hour late, and the homeowner has a text that the tile setter arrives about 8:30.

What your team gets

  • Every sub on tomorrow's schedule called the afternoon before
  • Yes, no and late recorded on the schedule
  • The PM told about a no while there's still time
  • Material and access questions caught the day before
  • Optional texts to clients about who's coming
Set up with you: The team sets up a connection to your project schedules in JobTread, Buildertrend or Jobber and your subtrade contact list, and sets with your PMs what time the calls go out and who gets each alert.

Questions

Will subs mind a call every day?

It's one short call the afternoon before they're on a job, the same call a good site super makes. Subs who prefer a text get a text.

What happens if a sub says no?

The PM gets an alert at once with the job and the reason. The agent doesn't book a replacement; your PM picks who.

Does it read lockbox codes out?

Only to the sub booked on that job, and only if you choose to keep codes on the schedule.
