Outbound: the agent calls

Install day calls: openings, access and a cold-day plan

Custom windows take weeks from the factory, and homeowners call often asking when. The agent calls them the day the units arrive, books the install, and tells them what the day looks like, including the cold.

When it starts

A custom order received from the factory, and an install a few days out.

What the agent does

Books the install, explains the day, confirms what to clear and who'll be home.

What your team gets

Installs booked from received units, and crews walking into ready rooms.

How it works

  1. Calls when units land

The day the order is received and checked, with the number of openings and how long the crew needs.

  2. Books the install

Two open days from the install schedule, with the installer team that fits the job size.

  3. Explains the day

Each opening is out for a short time, so the house gets cool in winter. Pets kept in another room, and someone home to walk through it at the end.

  4. Covers the prep

Blinds and curtains down, furniture a metre back from each window, a clear path in from the driveway.

  5. Confirms the day before

A text with the arrival window and the crew lead's name.

  6. Books the walk-through

The final walk-through with the crew lead, and the warranty card emailed after.

Example call

  1. AI agentHi Mrs. Friesen, it's Emma from Clearview Windows. Your front windows and patio door came in from the factory this morning, all checked.
  2. CustomerFinally! When can you do it?
  3. AI agentRay's crew has Tuesday the 3rd or Thursday the 5th. It's one day, starting at 8. Someone needs to be home.
  4. CustomerThursday. It's going to be cold though, isn't it?
  5. AI agentA little. They take out one opening at a time and close it up quickly, so the house cools but doesn't freeze. If you can take the blinds down and move furniture back from the windows, that helps a lot.
  6. CustomerWe can do that.
  7. AI agentPerfect. Thursday the 5th at 8. I'll text you the prep list and Ray's name the day before.

After the call: Ray's crew has Thursday the 5th with seven openings, blinds down and furniture back confirmed, and the order shows received and booked in one call.

What your team gets

  • Customers called the day custom units arrive
  • Installs booked with the right size crew
  • Prep and cold-day expectations set ahead
  • Day-before reminders with the crew lead's name
  • Final walk-throughs booked
Set up with you: The team sets up a connection to your orders and install schedule in JobNimbus, MarketSharp or JobTread and your factory order status, and loads your prep list and how your crews handle a winter install.

Questions

Will it give an install date before the units arrive?

Only the expected date your factory gives, said as an estimate. It books the install once the order is received.

Do you install in winter?

It says what your company does, from your information, and explains how the crew keeps the house warm.

What if a unit arrives damaged?

Your receiving team marks it, and the agent tells the homeowner the new expected date for that opening.
