Inbound: the customer calls

Groups at the curb told where their coach is

Forty kids, three parents and a pile of hockey bags at an arena door. The organizer calls and hears where the bus is in about ten seconds, without dispatch putting down the radio.

When it starts

An organizer, chaperone or parent calls on trip day.

What the agent does

Finds the trip, reads the coach's position and ETA, transfers to dispatch when it's late.

What your team gets

Dispatch hears only the calls that need a person, with the trip already identified.

How it works

  1. Finds the trip

By the group's name, the organizer's phone number or the pickup address.

  2. Reads the bus

The coach's live position and the ETA dispatch has set. "Bus 412 is on the 115 near Peterborough, about 12 minutes out."

  3. Gives the driver's name

And texts the bus number so the group knows which coach to walk to at a busy arena or airport.

  4. Past due? Straight to dispatch

A bus behind its time gets a warm transfer, with the trip, pickup point and how late it is read to dispatch first.

  5. Handles the small things

A forgotten jacket on the bus, a student who missed the return, a changed pickup time for the ride home. Each goes to the right person as a note.

  6. Logs it

Late pickups land on the trip record, so operations sees which runs keep slipping.

Example call

  1. CustomerHi, it's Dave with the Barrie Bantams. We're at the Sudbury Community Arena and the bus isn't here. It was supposed to be 3 o'clock.
  2. AI agentHi Dave. I have your trip. Bus 207 with Mike is on Highway 69, about 8 minutes from the arena. Traffic at the bridge slowed him down.
  3. CustomerOkay. Which door should we be at?
  4. AI agentDispatch has him pulling in at the main doors on the east side. I'll text you the bus number so the parents can find it.
  5. CustomerThanks. Also, one of the dads left his bag on the bus this morning, is it still there?
  6. AI agentI'll put a note on the trip for Mike to check before you load. You'll know when he pulls in.

After the call: Dave has the bus number by text, Mike has a note about the bag, and the call is logged on the trip as a 3:08 arrival with the reason. Dispatch never had to pick up.

What your team gets

  • Live bus position and ETA given on the call
  • Warm transfers to dispatch only when a bus is past due
  • The trip, pickup point and delay read to dispatch first
  • Lost-item and pickup-change notes on the trip
  • Late arrivals logged by run
Set up with you: The team sets up a connection to your fleet GPS (such as Samsara or Geotab) and your dispatch board, and sets how late a bus can be before the agent transfers, and who in dispatch takes those calls.

Questions

Will it guess an arrival time?

No. It reads the bus's position and the ETA dispatch has set. If there's no ETA, it puts the caller through to dispatch.

What if dispatch doesn't answer?

The dispatcher on duty gets a text and an email with the group, the pickup and the caller's number right away, and the caller is told someone will call back within minutes.

Can parents call too?

Yes, if you allow it. It confirms which trip they're with before giving any bus details.

What about an emergency on the road?

It tells the caller to call 911 for anything urgent and puts them straight through to dispatch.
