Outbound: the agent calls

Night-before pickup checks with the trip organizer

The bus pulls up to the right door of the right school, with the right number of seats, because someone checked the night before. That someone is the agent.

When it starts

A charter on tomorrow's dispatch sheet.

What the agent does

Calls the organizer, confirms pickup point, headcount and times, sends driver details.

What your team gets

A dispatch sheet with every change caught the evening before, not at 6 a.m.

How it works

  1. Reads tomorrow's sheet

Each afternoon, every charter for the next day, with the driver, bus number, pickup and return times.

  2. Calls the organizer

Between the hours you set, usually after school or after work, when teachers and coaches can talk.

  3. Checks the pickup point

"Front doors on Weller Street, or the bus loop out back?" The exact door saves the driver ten minutes in a parking lot.

  4. Checks headcount and gear

A higher count, extra bags or a student with a wheelchair now coming are flagged to dispatch while there's time to swap the vehicle.

  5. Sends the driver details

A text with the driver's first name, bus number and dispatch's line for the morning.

  6. Flags what changed

Dispatch gets a short list of every change, and nothing for the trips that are exactly as booked.

Example call

  1. AI agentHi Ms. Okafor, it's Emma from Kawartha Coach Lines. Just checking tomorrow's Ottawa trip. Still 57 people, leaving at 5:45?
  2. CustomerFifty-six, one student's sick. And can the bus come to the side lot? The front loop is blocked by construction.
  3. AI agentSide lot off Highland Road, got it. I'll pass that to dispatch so the driver knows. Your driver is Raj, bus 412.
  4. CustomerGreat. Is there a washroom on board?
  5. AI agentYes, that coach has one. I'll text you Raj's name, the bus number and the dispatch line for the morning. Have a wonderful trip.

After the call: Dispatch has the side-lot pickup and the new count of 56 on Raj's run sheet tonight, and Ms. Okafor has the bus number and the morning dispatch line by text.

What your team gets

  • Every organizer reached the evening before
  • Exact pickup doors and lots on the driver's run sheet
  • Headcount and gear changes flagged while there's time
  • Driver name and bus number texted to the organizer
  • A short change list for dispatch
Set up with you: The team sets up a connection to your dispatch board and charter software, and sets the calling hours, what counts as a change, and who in dispatch gets the list.

Questions

Call or text?

You choose. Many operators text first and call only when the organizer doesn't reply by a set time.

What if the organizer cancels the night before?

It records the cancellation, tells them what your cancellation terms say, and alerts dispatch right away so the driver is freed.

Does it work for multi-day tours?

Yes. It confirms the first pickup the night before, and each day's start time with the tour leader.
