Inbound: the customer calls

Wedding shuttles booked with loop times and the last run

A couple calls on a Sunday evening with the hotel list and the venue. They hang up with the shuttle booked, the loop written out, and a schedule they can put on the wedding website.

When it starts

A couple, planner, grad committee or festival calls about shuttling guests.

What the agent does

Builds the loop, sizes the vehicles, books the hours from your rates.

What your team gets

A booked shuttle with a run sheet for the driver and a schedule for the guests.

How it works

  1. Gets the places

Each hotel, the ceremony, the reception and any photo stop, with the addresses checked.

  2. Gets the times

First pickup, the gap between ceremony and reception, and when the last guests want to leave. It always asks about the last run.

  3. Sizes the shuttle

Guest count per hotel and whether a minibus can loop it or it needs a full coach. A one-way trip in the country with no return is flagged.

  4. Prices the hours

From your shuttle hourly rate and minimum, including the time between runs, so the couple isn't surprised.

  5. Books and confirms

Deposit link, then a text with the loop schedule written for guests: "Shuttle leaves the Holiday Inn at 3:15 and 3:45."

  6. Builds the run sheet

Operations gets the driver's run sheet with the contact on the day, usually the planner or the best man.

Example call

  1. CustomerWe're getting married at a barn outside Lakefield in August. Most guests are at two hotels in Peterborough.
  2. AI agentCongratulations. About how many guests will ride, and what time is the ceremony?
  3. CustomerMaybe seventy. Ceremony's at 4, and the party goes until 1.
  4. AI agentSeventy fits one coach if we run two trips out, at 2:45 and 3:15. For the night, would you like a run at 10:30 for the early crowd and the last one at 1?
  5. CustomerOh, that's smart. Yes.
  6. AI agentAt your shuttle rate that's 11 hours with the coach waiting on site, which comes to about 1,980 before tax. I'll text you the deposit link and a guest schedule you can paste onto your website.

After the call: The August date holds a coach for 11 hours with both outbound runs and both return runs. The couple has the deposit link and a guest-ready schedule, and operations has a draft run sheet with the barn address.

What your team gets

  • Shuttle bookings with every hotel, stop and loop time
  • A late-night last run asked about on every booking
  • Prices from your hourly shuttle rate and minimum
  • A guest schedule the couple can share
  • A run sheet for the driver with the day-of contact
Set up with you: The team loads your shuttle rates, minimums and vehicle sizes, sets up a connection to your charter software and payment processor, and sets what the agent books itself and what goes to operations.

Questions

Can it handle three hotels and a photo stop?

Yes. It writes each stop with its time and checks the loop is possible in the gap the couple has.

Does it book grad and festival shuttles too?

Yes. Grad committees, festivals and corporate events use the same flow, with their own pickup points and times.

What if the couple changes the count later?

They call back and it updates the booking. If the new count needs a bigger vehicle, it checks one is free and gives the new price from your rates.
