Outbound: the agent calls

Unsigned charter quotes chased before the coach is gone

Half your quotes sit unsigned because the organizer is waiting on a principal, a board or a parent count. The agent calls them before your coach gets asked for by someone else.

When it starts

A charter quote with no signature after the number of days you set, or another group asking for the same date.

What the agent does

Calls the organizer, answers questions, updates the headcount, texts the deposit link.

What your team gets

Signed trips, deposits in, and coaches released when a group goes elsewhere.

How it works

  1. Watches the open quotes

Each morning it lists quotes past your wait time, and any date where a second group wants the same coach.

  2. Calls with the quote in hand

"I'm calling about the Ottawa trip on May 22." It knows the price, the vehicle and the times on that quote.

  3. Clears what's in the way

A new headcount, a changed return time, a question about the cancellation terms. Small changes are made on the quote; bigger ones go back to charter sales.

  4. Takes the deposit

A yes gets the signing link and the deposit link by text and email, and the trip moves to booked when it's paid.

  5. Lets go cleanly

If they went with another company, it thanks them, asks what decided it, and frees the coach for the next group.

  6. Reports the pipeline

Charter sales sees which quotes are signed, waiting on a board, or lost, and why.

Example call

  1. AI agentHi, is this Coach Daniels? It's Emma from Kawartha Coach Lines, about the Sudbury tournament quote for the Bantam team. Is now okay?
  2. CustomerYeah, sorry, I've been meaning to call. The parents want to know if siblings can ride along.
  3. AI agentThe coach seats 56 and you're at 38, so there's room for up to 18 more. The price on the quote doesn't change. How many siblings do you think?
  4. CustomerMaybe six. Okay, then let's do it.
  5. AI agentGreat. I'll update it to 44 passengers and text you the signing link and the deposit link now. Once the deposit is in, the coach is yours for that weekend.
  6. CustomerPerfect, I'll do it tonight.

After the call: The quote shows 44 passengers, the signing and deposit links are sent, and the trip flips to booked when the deposit clears. Charter sales sees the follow-up on the quote with the note about siblings.

What your team gets

  • Open quotes called on the schedule you set
  • Headcount and time changes made on the quote
  • Signing and deposit links sent on the call
  • Coaches released when a group books elsewhere
  • Lost-quote reasons collected for charter sales
Set up with you: The team sets up a connection to your charter software and payment processor, and sets with charter sales how long to wait before the first call, how many tries to make, and which changes the agent can make itself.

Questions

Will it lower the price to win the trip?

No. It reads the quote as written. A request for a better price goes to charter sales with what the organizer said.

What if the school board hasn't approved it yet?

It asks when the board meets and calls back the day after. The coach stays held if your rules say so.

Does it call over and over?

No. It makes the number of attempts you choose, leaves one short message, and stops if the organizer asks.
