Inbound: the customer calls

Rush runs booked before the courthouse cut-off

Between noon and 4 every line rings at once. Each caller gets a price from your rate card and a job on the board, and dispatch keeps its eyes on the drivers instead of the phone.

When it starts

A caller needs something across town today, often against a deadline.

What the agent does

Takes both stops, prices by zone, size and service level, books the job with the deadline flagged.

What your team gets

A priced job on the dispatch board and a confirmation with the waybill number.

How it works

  1. Takes the two ends

Pickup and drop addresses with suite or floor, the contact at each end, and whether the drop is a counter, a reception desk or a person by name.

  2. Sizes the job

Envelope, box or skid, the weight, and anything fragile, cold or confidential. A banker's box of discovery is not an envelope.

  3. Sets the service level

Regular, rush, or direct with no other stops, based on the deadline they give.

  4. Prices it from your card

The zone or distance band, size and service level, with the price for any extra stop or wait time. Out-of-town runs get the rate you set for that town.

  5. Books it

The job goes on the board with the deadline in red, and the caller gets a text with the waybill number and the price.

  6. Watches the clock

If no driver has accepted a rush job within the minutes you set, dispatch gets a nudge.

Example call

  1. CustomerI need a document box from Bay and Adelaide to the courthouse on University, filed before 2. Can you do it?
  2. AI agentYes. About how heavy is it, and is it a drop at the filing counter?
  3. CustomerMaybe six kilos. Counter drop. And there's an envelope for opposing counsel on King West.
  4. AI agentI'll book the courthouse as a rush with King West as a second stop. That's 42 dollars for the rush and 9 for the extra stop. Who's the pickup contact?
  5. CustomerMei at Harper Lowe, suite 1800.
  6. AI agentAnd at King West?
  7. CustomerGraham Pike, reception.
  8. AI agentBooked: Mei at suite 1800, courthouse counter before 2, then Graham Pike on King West. Your waybill is 30-88412, and I'm texting it to you now.

After the call: Job 30-88412 is on the downtown board with both stops and "file before 2:00" flagged. Mei has the confirmation, and accounts has the price for the firm's monthly invoice.

What your team gets

  • Jobs on the board with both stops, size, service level and deadline
  • Prices from your rate card on every booking
  • Deadlines flagged and watched until a driver accepts
  • Waybill confirmations texted to the caller
  • Rush bookings by account, for monthly invoicing
Set up with you: The team sets up a connection to your dispatch software (Onfleet, Datatrac, Key Software or OptimoRoute) so the agent writes jobs to the board, and loads your zones, rate card, cut-offs and what counts as rush.

Questions

Can it promise a deadline?

It books the service level that fits the deadline on your card, and flags the deadline for dispatch. A deadline your service levels can't meet goes to dispatch before it's accepted.

What about skids or out-of-town runs?

If your card covers them, it prices them. If not, it takes the details and dispatch calls back with a price.

Can new customers book?

Yes. It takes their billing contact and books the run, and accounts sets them up for invoicing.
