Inbound: the customer calls

"Has the driver picked up?" answered from the board

Half the calls to a courier dispatcher are someone asking where a job is. The agent answers them from the board, and only the late lab samples and court filings reach a person.

When it starts

A sender or recipient calls asking if a job was picked up, where it is or who signed.

What the agent does

Finds the job, gives the status and ETA from the route, warm-transfers the late critical ones.

What your team gets

A dispatcher who only takes the calls where something has gone wrong.

How it works

  1. Finds the job

By waybill, the sender's account, or the pickup address and time. A recipient can give the sender's name.

  2. Gives the status

Waiting for a driver, picked up at 11:42, on the way, delivered. Times are read from the driver's scans.

  3. Gives a real ETA

From the driver's route and the stops ahead of this one. It doesn't guess past what the route shows.

  4. Confirms the delivery

Who signed and when, with a photo of the drop if the driver took one, sent by text.

  5. Gets dispatch for the urgent ones

A lab sample, a court filing or anything you mark time-critical that's running late is warm-transferred to the dispatcher.

  6. Offers a text

The caller can get a text when the driver is two stops away or when it's delivered.

Example call

  1. CustomerHi, it's the front desk at Dr. Leung's office. We booked a pickup for a crown going to the lab. Has anyone come?
  2. AI agentLet me check. Is that the pickup from 450 Rideau, going to Capital Dental Lab?
  3. CustomerThat's the one.
  4. AI agentSam has it on his route. He's two stops away, so about 15 minutes. Want a text when he's at your door?
  5. CustomerYes please. The lab needs it before 3.
  6. AI agentHis route has the lab at about 2:10, so that's well before 3. I'll text you when he arrives and again when the lab signs for it.

After the call: The front desk gets a text when Sam arrives and another with the lab's signature at 2:08. Dispatch didn't take the call.

What your team gets

  • Status calls answered from the driver's scans
  • ETAs from the live route, not a guess
  • Signer names and drop photos sent by text
  • Late time-critical jobs warm-transferred to dispatch
  • A daily count of status calls taken off dispatch
Set up with you: The team sets up a connection to your dispatch and routing software so the agent reads job status, scans and routes, and sets which job types are time-critical and who takes the transfers.

Questions

Can recipients call, not just the sender?

Yes. A recipient with the waybill or the sender's name hears the status. Prices stay with the account holder.

What if the driver is late?

It says what the route shows. For a time-critical job, it puts the caller through to dispatch right away.

Does it show proof of delivery?

It texts the signer's name, the time and the photo if one was taken.
