Inbound: the customer calls

Daily lab and clinic routes set up by phone

Your best accounts ship every day. The agent sets up their standing pickup in one call, and the clinic that needs an extra run on a Thursday or no pickup on Boxing Day gets it without waiting for a callback.

When it starts

A clinic, lab, pharmacy or office calls about a regular pickup, or wants to change one.

What the agent does

Sets the days, window and destinations, books it as a standing route, handles extras and skips.

What your team gets

A recurring route on the board and every change logged on the account.

How it works

  1. Learns the pattern

Which days, the pickup window, the usual drops, and whether anything travels in a cooler or a locked bag.

  2. Prices the route

From your rate card for standing routes, per stop or per day, and it says the price before it books.

  3. Books it to repeat

The route goes on the board for every day it runs, with the stop notes the driver needs.

  4. Takes the extras

A second run Thursday, a stat specimen, a box of charts to storage. Booked on top of the route.

  5. Handles skips and holidays

Closed for a stat holiday or a PD day, or a later window during flu clinic. The route changes for that day only.

  6. Keeps accounts in the loop

The account's billing contact and the monthly route count are on file for invoicing.

Example call

  1. CustomerHi, it's Nadia at Westgate Family Health. We'd like a pickup every weekday at 4 for specimens going to the lab on Carling.
  2. AI agentHappy to set that up. Do the specimens travel in a cooler, and do you have one, or do you need ours?
  3. CustomerWe have our own cooler. Usually one bag.
  4. AI agentGot it. A standing weekday pickup at 4 to the Carling lab is 18 dollars a day on our route rate. Shall I start it Monday?
  5. CustomerYes. And we're closed on the 12th for Thanksgiving.
  6. AI agentI've skipped the 12th. You're set from Monday, weekdays at 4, cooler bag to the Carling lab. I'll email the confirmation to you.

After the call: The route runs on the board every weekday at 4 from Monday, with the 12th skipped and "own cooler, specimens" on the stop. Accounts has the new account and the route rate.

What your team gets

  • Standing routes on the board for every day they run
  • Extra runs booked on top of the route by phone
  • Skipped days and holiday changes for that day only
  • Cooler and locked-bag notes on every stop
  • Monthly route counts for invoicing
Set up with you: The team sets up a connection to your dispatch software and billing (Onfleet, Datatrac, QuickBooks or your own invoicing) so standing routes and extras land on the board and the invoice, and loads your route rates.

Questions

Can a clinic skip a single day?

Yes. They call, the agent skips that day only, and the route carries on after.

Does it handle specimens differently?

It notes coolers, locked bags and the lab's receiving hours on every stop, and flags stat specimens as time-critical.

Can it change the pickup time for good?

Yes. It moves the window on the standing route and tells dispatch.
