Inbound: the customer calls

Late freight traced by PRO number

The 7 a.m. pile of "where is it?" calls stops landing on your customer service reps. Shippers hear the last scan and the delivery appointment, and the calls that are real problems reach the rep on that account already explained.

When it starts

A shipper, a receiver or a store manager calls asking where a shipment is.

What the agent does

Finds it by PRO, PO or BOL, gives the last scan and appointment, sends tracking, escalates the problems.

What your team gets

Only the late, short and damaged loads, handed over with the PRO and the story.

How it works

  1. Finds the shipment

By PRO, PO, BOL or the shipper's reference. With a regular caller it also checks their other open shipments.

  2. Reads the last scan

Picked up, at the origin terminal, on linehaul, at the destination terminal, out for delivery, delivered with the signer's name.

  3. Gives the appointment

The delivery date and window on the order. It never invents a new time when a load is behind.

  4. Sends the tracking

A tracking email or text with the PRO and the scans, and proof of delivery once the receiver signs.

  5. Spots a real problem

Past due, short skids, damage noted at delivery, refused freight. Those go to the account rep as a warm transfer, PRO read out first.

  6. Opens the claim path

For damage, it takes photos by text and the receiver's notes on the delivery receipt, so the rep starts with the file.

Example call

  1. CustomerHi, it's Dana at Maple Leaf Fixtures. Our Moncton store was supposed to get its shipment this morning.
  2. AI agentLet me look. Do you have the PRO or your PO number?
  3. CustomerPRO 8834-217.
  4. AI agentThanks. It reached our Moncton terminal at 6:10 this morning but it isn't on a delivery truck yet, and it was due by noon. I'm putting you through to Aisha on your account.
  5. AI agent(privately, to Aisha) Dana at Maple Leaf, PRO 8834-217, due Moncton by noon, at the terminal since 6:10, not loaded for delivery. Connecting.
  6. CustomerThanks. Can you also email me the tracking for my store manager?
  7. AI agentDone, it's on its way to you now. Aisha's picking up.

After the call: Aisha picks up already holding the PRO and the problem. Dana and her store manager have the tracking by email, and the call summary sits on the shipment.

What your team gets

  • Status calls answered from the scans without a rep
  • Late, short and damaged loads warm-transferred with the PRO read out
  • Tracking and proof of delivery emailed on request
  • Damage photos and delivery receipt notes collected for claims
  • A morning count of status calls by account
Set up with you: The team sets up a connection to your TMS and carrier tracking (project44, MacroPoint or your carriers' own feeds), and agrees with your customer service lead which situations go to the rep and which get a callback note.

Questions

What if the load is behind?

It says what the last scan shows and that it's past due, then gets the rep on that account. It doesn't promise a new delivery time.

Can store managers and receivers call too?

Yes. Anyone with the PRO, PO or BOL hears the status. Rates and billing are kept for the shipper's own contacts.

How does it handle a damage claim?

It collects the photos and the receiver's notes, opens the file for the rep and explains how your claims process works. Decisions on a claim come from your team.

Can it give proof of delivery?

Yes. Once delivered, it sends the signed POD by email.
