Outbound: the agent calls

Shippers called when a load misses its date

A shipper who hears about a late load from their own customer starts looking for another provider. The agent calls them first, with what happened and the plan your team has set.

When it starts

A missed linehaul, a refused delivery, a weather hold, or a rep marking a load as delayed.

What the agent does

Calls the shipper's contact with the cause and the new appointment, and texts it after.

What your team gets

Shippers told before they ask, and the call logged on the shipment.

How it works

  1. Watches the exceptions

Every hour it checks for loads past their scheduled scan, refused at the door, held for weather on the 401 or the 17, or marked delayed by a rep.

  2. Waits for the plan

It calls once your team has set the new appointment or the next step, so the shipper hears a plan, not just bad news.

  3. Calls the right contact

The person on the account who wants these calls, in the calling hours they set. Some want a text only.

  4. Says it plainly

What happened, where the freight is, and the new delivery date. Calm, no excuses, no blame on the carrier.

  5. Takes their answer

If the new date doesn't work for their customer, it books a callback with the rep inside the hour.

  6. Writes it down

The call, the shipper's reply and the time go on the shipment, so the whole office sees who was told what.

Example call

  1. AI agentHi Dana, it's Emma from Clearpath Logistics, calling about PRO 9120-044 to your Saint John store.
  2. CustomerOh no. What happened?
  3. AI agentThe highway through Edmundston closed overnight for the storm, so the trailer is holding in Rivière-du-Loup. Aisha has it rebooked for delivery tomorrow between 8 and 11.
  4. CustomerTomorrow morning is fine. Can you tell the store?
  5. AI agentI'll call the Saint John store manager now with the new window, and text you both the update.
  6. CustomerPerfect, thanks for the heads-up.

After the call: The shipment shows the weather hold, the call to Dana and the new window. The Saint John store manager gets a call and a text, and Aisha sees the shipper accepted the new date.

What your team gets

  • Exception calls made as soon as the new plan is set
  • The shipper's reply and the time logged on the shipment
  • Receivers told the new window when the shipper asks
  • Callbacks booked with the rep when a new date won't work
  • A weekly list of exceptions by lane and cause
Set up with you: The team sets up a connection to your TMS and tracking feeds, and sets with each account who gets exception calls, call or text, and which delays your reps want to approve before the call goes out.

Questions

Does it call about every small delay?

No. You choose which exceptions trigger a call, and how late a load has to be before it counts.

Will it blame the carrier?

No. It says what happened and what the plan is, in plain words, the way your best rep would.

What if the shipper is upset?

It listens, says what it knows and books a callback with the rep on the account right away.
