Inbound: the customer calls

"Where's the crew?" answered on moving day

On moving day a customer standing in an empty hallway wants one thing: to know where the truck is. The agent tells them, and gets dispatch on the line when there's a real problem.

When it starts

A customer calls on moving day, before, during or after the crew arrives.

What the agent does

Gives the truck's position and ETA, answers questions, warm-transfers delays and damage.

What your team gets

Dispatch on the line only for real problems, with the job read out first.

How it works

  1. Finds the job

By the customer's phone number or name, with both addresses and the crew on it.

  2. Says where the truck is

From the truck's GPS: finishing the morning move, on the 417, ten minutes away.

  3. Answers the small stuff

Can the crew take the TV off the wall, where to put the boxes, when payment is due. From your information.

  4. Gets dispatch for delays

A crew running well past the window goes to dispatch as a warm transfer, with the job read out first.

  5. Handles damage calmly

A scraped wall or a broken lamp: it takes what happened, asks for photos by text, and gets dispatch or your claims person.

  6. Closes the move

After the last box, it can send the invoice link and a short note asking how it went.

Example call

  1. CustomerHi, the movers were supposed to be here between 1 and 1:30. It's 1:40.
  2. AI agentLet me check. Is this Jordan in Barrhaven?
  3. CustomerYes.
  4. AI agentMike's crew finished their morning move a little late and they're on Fallowfield Road now, about 12 minutes from you.
  5. CustomerOkay. We have the elevator only until 5 at the condo.
  6. AI agentI'll make sure Mike knows the elevator ends at 5. I'm also letting dispatch know, so they can call you if anything changes.
  7. CustomerThanks. That helps.

After the call: Dispatch gets a note that the crew is 10 minutes past the window with the 5 p.m. elevator limit, and Mike sees it on his job. Jordan gets a text when the truck is two minutes away.

What your team gets

  • Crew ETAs from the truck's GPS
  • Delays past the window sent to dispatch
  • Damage reports with photos for claims
  • Small questions answered without the crew lead
  • Invoice links and a how-did-it-go note after the move
Set up with you: The team sets up a connection to your moving software and truck GPS (Samsara, Geotab or the tracking in your moving software), and sets who takes delay and damage transfers.

Questions

Will it promise a time?

It gives the ETA the truck's position shows. If the crew is running late, dispatch is told.

How does it handle damage?

It listens, takes the details and photos, and explains your valuation coverage the way you describe it. Claims decisions come from your team.

Can it take payment?

It texts your invoice link at the end of the move, and the customer pays there.
