Outbound: the agent calls

Broker invoices past 30 days called and chased

Small fleets wait 45 or 60 days for money they earned in four. The agent calls about every invoice past terms, fixes the missing-paperwork excuse on the spot, and gets a date.

When it starts

An invoice past the terms on the rate confirmation, or a short pay.

What the agent does

Calls accounts payable, confirms they have the paperwork, resends it, gets a pay date.

What your team gets

A promised pay date on each invoice and a list of disputes for billing.

How it works

  1. Builds the list

Each morning, invoices past terms, short pays and loads where the detention or lumper charge wasn't paid.

  2. Calls payables

The broker's accounts payable line, with your MC or carrier number, the load number, their reference and the amount.

  3. Clears the paperwork

Missing POD, unsigned BOL, lumper receipt. It emails the document while they're on the phone and confirms they have it.

  4. Gets a date

When the payment will be released and how, and it writes that date on the invoice.

  5. Spots a dispute

A broker saying the load was late or the rate was different goes to your billing person with the call notes and the rate con.

  6. Calls back on the date

If the money doesn't land by the promised date, it calls again, politely, with the date they gave.

Example call

  1. AI agentHi, it's Emma from Red River Transport. I'm calling about load 57940, your reference PL-2114, invoiced at 3,450 dollars on September 18.
  2. CustomerLet me look... I have it here, but there's no POD attached.
  3. AI agentI'll email it to you right now from our billing address. Can you tell me when you see it?
  4. CustomerOkay, got it. Signed by the receiver, looks good.
  5. AI agentThanks. When will that be released?
  6. CustomerIt'll go in Friday's EFT run.
  7. AI agentPerfect, I've noted Friday's EFT. Thanks for your help.

After the call: Invoice 57940 shows the POD resent, the promised Friday EFT and the AP contact's name. If the deposit isn't in by Monday, the agent calls again.

What your team gets

  • A promised pay date on every overdue invoice
  • PODs, BOLs and lumper receipts resent during the call
  • Disputed loads sent to billing with the call notes
  • Follow-up calls when a promised date passes
  • Days to pay by broker, so you know who to haul for
Set up with you: The team sets up a connection to your accounting and TMS (QuickBooks, Sage, McLeod or Truckbase) so the agent sees invoices, terms, PODs and payments, and sets which brokers it calls and when billing takes over.

Questions

Will it argue with a broker about a short pay?

No. It takes their reason, sends it to your billing person with the rate con, and lets them sort it.

What about factored loads?

Loads you've factored are left alone, or handled the way your factoring company asks.

Is it polite about it?

Yes. It calls like a friendly billing clerk, with the load number and the paperwork ready, never threatening.
