Outbound: the agent calls

Oil changes due by kilometres, booked back

Most customers don't leave your garage, they just forget it until the light comes on. The agent works out who's due from the kilometres on their last two visits, calls them, and brings up the brakes they put off.

When it starts

A customer's estimated kilometres pass the interval you set, or declined work comes due.

What the agent does

Calls with the specifics, books the visit, adds the held-back items to it.

What your team gets

Maintenance bookings with the declined items attached, and a report of what came back.

How it works

  1. Works out who's due

From the kilometres on each customer's last two visits it estimates where their odometer is now, and picks the ones past the interval you set.

  2. Adds what was held back

Items the customer declined, like rear pads marked for spring, are pulled from the last work order with the price that was quoted.

  3. Calls at a sensible time

Weekday evenings and Saturday mornings, inside the hours you choose. No answer gets one short voicemail and a text.

  4. Books one visit

The oil change and the held-back work in a single slot that fits both, with a text confirmation.

  5. Respects a no

Not now gets a callback date. Sold the car gets the record updated. Stop calling is honoured for good.

  6. Shows the owner the return

A monthly report of calls, bookings and the value of declined work that came back in.

Example call

  1. AI agentHi Ravi, it's Emma from Otonabee Auto. Quick one about your Escape. By our guess you're near 149,000, so it's about time for an oil change.
  2. CustomerHuh, yeah, probably.
  3. AI agentKyle also noted your rear brake pads at 4 millimetres in the fall and quoted 312 dollars. Want both done in one visit?
  4. CustomerYeah, let's do that. They've started squealing.
  5. AI agentGood timing then. I have Saturday at 9 or Monday at 7:45, about an hour and a half for both.
  6. CustomerSaturday at 9.
  7. AI agentSaturday at 9 it is, oil change and rear pads. I'll text you the confirmation.

After the call: A Saturday 9:00 work order opens with the oil change and the rear pads at the price Kyle quoted. The spring callback is closed, and the booking shows on the month's report as returned declined work.

What your team gets

  • Maintenance bookings from customers who would have gone to a quick lube
  • Declined work booked back at the price already quoted
  • Callback dates for every not-yet
  • A do-not-call list for anyone who asks
  • A monthly report of calls, bookings and value
Set up with you: The team sets up a connection to your shop management system for visit history, kilometres and declined items, and sets with you the oil change interval, which declined items to bring up, and the calling hours.

Questions

How does it guess the kilometres?

From the odometer readings on the customer's last visits and the time between them. It says it's an estimate and asks the customer if they're close.

Will customers find the calls annoying?

It calls about their own car with a real reason, once. A no gets a callback date and a stop gets honoured.

Can it use the manufacturer schedule instead?

Yes. You can set intervals by make or by service, like transmission fluid or timing belts, as well as oil changes.
