Inbound: the customer calls

Symptoms written up before the car hits the hoist

The driver with a clunk over bumps gets a person-like voice on the first ring instead of voicemail. By the time the car rolls in, the tech already knows when the clunk happens, from which corner, and since when.

When it starts

A driver calls about a noise, a warning light, a leak, a pull or a smell.

What the agent does

Asks the service-writer questions, books a diagnostic or maintenance slot, texts a confirmation.

What your team gets

A work order with the symptom in the customer's words and the questions already answered.

How it works

  1. Picks up while the counter is busy

During the 8 a.m. key rush or with the only service writer in the bay, every call gets answered in the shop's name, several at once if needed.

  2. Asks what a good writer asks

When does it happen: cold start, braking, turning, over 80? Which corner? Is a light on, steady or flashing? How many kilometres? The answers go on the booking as plain sentences.

  3. Flags the warning signs

A pedal going to the floor, a flashing check engine light or steam from the hood gets the instructions the owner set, like park it and ask about a tow, and the call is flagged for the writer.

  4. Gives the shop's own numbers

The diagnostic fee, the shop rate, oil change packages and courtesy-ride rules come from the list the shop gave. Repair prices wait for the tech.

  5. Books the right length of slot

A diagnostic gets diagnostic time, an oil change gets a quick slot. Wait or drop off, ride or no ride, and a text with the address and key-drop hours.

  6. Hands the writer a clean file

The work order carries the year, make, model, kilometres and symptom. The recording and summary sit in the portal for anyone who wants the full story.

  4. CustomerDriver's side, I think. Mostly bumps, sometimes pulling into my driveway.
  5. AI agentThat helps the tech a lot. What's the car, and roughly how many kilometres?
  6. Customer2017 Escape, about 141,000.
  7. AI agentI can book a suspension check. Our diagnostic fee is 129 dollars, and the advisor calls you with an estimate before any repair. I have Tuesday at 8 or Wednesday at 10:30.
  8. CustomerTuesday at 8, I'll drop it off.
  9. AI agentYou're set for Tuesday at 8, 2017 Escape, front driver's side clunk over bumps and turning into the driveway. I'll text you the details now.

After the call: Tuesday 8:00 holds a diagnostic on the 2017 Escape with the clunk described by side, speed and situation. The writer sees it in the morning list, and the customer has a text with the address and the night-drop option.

What your team gets

  • Diagnostic and maintenance bookings with the symptom written out by when, where and how often
  • Warning-sign calls flagged to the service writer the moment they end
  • Kilometres, year, make and model on every booking
  • A confirmation text and a reminder the day before
  • Recording, transcript and summary in the portal
Set up with you: The team loads your hours, diagnostic fee, shop rate, maintenance packages and warning-sign instructions, and sets up a connection to your shop management system (Tekmetric, Shopmonkey, Protractor or Mitchell 1 Manager SE) so bookings land as appointments with the notes attached.

Questions

Will it tell a customer what's wrong with the car?

No. It writes down what the driver describes and books the tech's time to find out. A diagnosis only ever comes from your shop.

What about callers who ask if it's safe to drive?

It never makes that call. For the warning signs you list, it reads your instructions, such as don't drive it and ask about a tow, and flags the call for the writer.

Can it give the price of a brake job?

Only the prices you give it, like a set price for front pads on common cars. Anything that depends on what the tech sees becomes a diagnostic booking.

Does it know how long each job takes?

Yes. You tell it how much time an oil change, a diagnostic or a pre-purchase inspection needs, and it only offers slots that fit.
