Inbound: the customer calls

Adjuster supplement calls sent to the estimator on the file

Teardown found a bent rail behind the bumper, and the repair stalls until the adjuster signs off. When the adjuster calls back, they reach the estimator on that file with the claim already pulled up.

When it starts

An adjuster, appraiser or insurer desk calls about a claim or supplement.

What the agent does

Finds the file by claim number or plate and warm-transfers to the estimator on it.

What your team gets

Supplements approved sooner and a note on the file of every insurer call.

How it works

  1. Knows who's calling

An adjuster gives their name and insurer; the agent asks for the claim number, plate or owner's name and finds the file.

  2. Gives a private heads-up

Before connecting, the estimator hears which car, which claim and what the adjuster wants, in a few words only they hear.

  3. Puts them straight through

To the estimator on that file. If they're in the lot, a second choice you set, such as the shop manager.

  4. Takes a full message if nobody's free

The supplement amount in question, photos requested, and a callback window, sent by text and email at once.

  5. Logs the contact

Every insurer call goes on the file with the time and what was asked, so the production manager sees where approvals stand.

Example call

  1. CustomerHi, Tom Adeyemi from Northbridge. I'm calling about a supplement on claim 55-20193.
  2. AI agentThanks, Mr. Adeyemi. That's the 2020 Mazda3, with Devon as the estimator. One moment and I'll put you through.
  3. AI agent(privately, to Devon) Tom Adeyemi, Northbridge, on the Mazda3, claim 55-20193, about the supplement you sent this morning.
  4. CustomerGreat, thanks.
  5. AI agentDevon's picking up now. Connecting you.

After the call: Devon takes the call with the file open, the adjuster approves the rear body panel supplement, and the file notes the call time and the approval. The Mazda goes back into production that afternoon.

What your team gets

  • Adjusters connected to the estimator on the file with a private summary
  • A message by text and email when the estimator can't pick up
  • Every insurer call logged on the file
  • Supplements approved without days of phone tag
Set up with you: The team sets up a connection to your estimating and shop management systems (CCC ONE, Mitchell RepairCenter or Audatex) so the agent finds files by claim number, plate or owner, and agrees with you who backs up each estimator.

Questions

Will it discuss the supplement amount itself?

No. It finds the file and connects the adjuster to the estimator. Numbers are between them.

Can it tell an adjuster the repair stage?

Yes, the stage your production board shows, if you allow it. Anything beyond that goes to the estimator.

What if the adjuster doesn't have the claim number?

It finds the file by plate, VIN or the owner's name and confirms the vehicle before connecting.
