Outbound: the agent calls

Repair stage updates called before the customer asks

A collision repair can take weeks, and the silence is what makes people angry. The agent calls when the car moves stages or a part slips, so the owner hears it from you first and your front desk stops fielding "any news?" all day.

When it starts

The car changes stage on the production board, or the target date moves.

What the agent does

Calls or texts the owner with the stage in plain words and the new target if it changed.

What your team gets

Fewer "any news?" calls, and a delay explained before it becomes a complaint.

How it works

  1. Watches the board

Teardown, waiting on supplement, waiting on parts, body, paint, reassembly, calibration, detail, ready. Each move can trigger an update.

  2. Picks call or text

A routine move gets a text. A slipped date or a part on backorder gets a call, because that news lands better from a voice.

  3. Explains in plain words

"The tailgate is on backorder from the manufacturer, so the target moved from Thursday to next Tuesday." Only what the production manager entered.

  4. Answers the next question

Rental extended? It says the estimator is letting the insurer know, and notes the rental company on the file.

  5. Passes on the worried ones

An owner who's frustrated or has a question about the repair itself gets a callback from the estimator, flagged as priority.

Example call

  1. AI agentHi Hannah, it's Emma from Speedvale Collision with an update on your Mazda3. Got a minute?
  2. CustomerSure, is it done?
  3. AI agentNot yet, sorry. The body work is finished, but the new tail light assembly is backordered. Devon now has the target as next Tuesday instead of Thursday.
  4. CustomerUgh. My rental's only booked until Friday.
  5. AI agentI understand. I'll flag that for Devon so he can ask Northbridge to extend it, and he'll call you about it today.
  6. CustomerOkay, thanks for telling me.
  7. AI agentOf course. I'll text you as soon as it goes into paint and again when it's ready.

After the call: The file shows the delay was explained at 10:40, Devon has a priority task to request the rental extension from Northbridge, and the next stage texts are queued.

What your team gets

  • Owners told about each stage without a front-desk call
  • Delays explained by phone before the owner asks
  • Rental extensions flagged to the estimator the same day
  • Priority callbacks for worried or upset owners
  • A record on the file of every update sent
Set up with you: The team sets up a connection to your production board and shop management system (CCC ONE, Mitchell RepairCenter or Audatex) so stage and target-date changes trigger updates, and sets with your production manager which moves get a call and which get a text.

Questions

Will it ever make up a target date?

No. It only says the target your production manager entered. If none is set, it says the estimator will confirm it.

Can owners text back with questions?

Yes. Replies come into the same thread, and anything about the repair itself goes to the estimator.

Does it call insurers too?

It can text the adjuster on the file when the target moves, if you choose.
