Outbound: the agent calls

Declined work and recall recovery

Every repair order has work the customer said "not today" to. The agent calls them back at the right time with the details, and books the visit.

When it starts

Declined items on a closed repair order, an open recall on a VIN, or maintenance coming due.

What the agent does

Calls with the specifics the tech found, answers questions, books the visit.

What your team gets

Booked repair orders, a follow-up date for the rest, and a results report.

How it works

  1. Builds the list

Each night: declined items after the wait you choose, open recalls on vehicles you've serviced, and maintenance due by date or kilometres.

  2. Calls with the specifics

"Last visit the tech measured your front pads at 3 millimetres." The customer hears what was found on their own car, not a generic reminder.

  3. Answers the questions

What the work is, the price the advisor quoted, how long it takes, loaner and shuttle. Recalls are explained as no-charge work.

  4. Books the visit

Two open times in the service schedule and a text confirmation. Recall parts are checked before the time is offered.

  5. Not now? Sets the next time

It asks when makes more sense and calls back then. A customer who says stop is never called again.

  6. Reports what came in

Calls made, appointments booked and value booked, by item, so the service manager sees what the list is worth.

Example call

  1. AI agentHi Mr. Osei, it's Emma from Northgate Ford. Got a minute? It's about your F-150 from your oil change in September.
  2. CustomerSure, what's up?
  3. AI agentThe tech measured your front brake pads at 3 millimetres then, and Jenna quoted 389 dollars for pads and rotors. With winter coming, I wanted to see if you'd like to get that done.
  4. CustomerYeah, I've been meaning to. It's been squeaking.
  5. AI agentThat fits. I also see an open recall on your truck for the rear-view camera. It's no charge and we have the part. Want both done in one visit?
  6. CustomerMight as well.
  7. AI agentI have Tuesday at 7:45 or Wednesday at 12:30, about two and a half hours for both. ... Tuesday at 7:45 it is. I'll text you the confirmation.

After the call: A repair order opens for Tuesday 7:45 with the brake quote and the recall, the recall part is reserved, and the call shows on the service manager's report as booked work.

What your team gets

  • Declined work booked back into the shop, with the original quote
  • Recall visits booked only when parts are in
  • Follow-up dates for customers who said not yet
  • A do-not-call list kept for anyone who asks
  • A weekly report of calls, bookings and value booked
Set up with you: The team sets up a connection to your DMS for declined items, recall status and service history, and sets with your service manager how long to wait after a decline, which items to call about, and the calling hours.

Questions

Won't customers find it pushy?

It calls once about something real that was found on their own car, with the price they were already quoted. If they say not now, it asks when to call back. If they say stop, it stops.

Which items does it call about?

The ones your service manager picks: brakes, tires, fluids, batteries, whatever matters to your shop, each with its own wait after the decline.

How does it handle recalls?

It checks the recall is open on that VIN and the parts are in, explains it's no charge, and books the visit.

Can it combine items?

Yes. If a customer has declined work and an open recall, it offers to do both in one visit.
