Inbound: the customer calls

Late pickups and pickup changes sent to the room

A parent stuck on the 401 at 5:40, a grandparent coming instead of Dad. The educator closing the room hears about it right away, and anyone not on the pickup list is never quietly added.

When it starts

A parent calls about who is picking up, or that they'll be late.

What the agent does

Checks the pickup list, passes the change to the room, routes custody concerns.

What your team gets

A note on the child's file and a message to the educator on shift.

How it works

  1. Confirms who's calling

The parent's name and the child's, matched to the file before anything changes.

  2. Checks the pickup list

If the person coming is already authorized, she tells the room who to expect and reminds the parent they'll need photo ID.

  3. Never adds a name by phone

A new person goes through the centre's written authorization. She tells the parent how to add them in the app or at the front desk.

  4. Takes the late call

The expected time, and the centre's late pickup policy and fee as written, read kindly.

  5. Puts custody concerns through

A call about a parent who is no longer allowed to pick up goes straight to the director as a warm transfer, with a private summary first.

  6. Writes it down

Every change goes on the child's file with the time of the call, so the closing educator has it in writing.

Example call

  1. CustomerHi, it's Tariq, Zara's dad. I'm stuck in traffic on the 401. I won't make it by six.
  2. AI agentThanks for calling ahead, Tariq. Zara's in the Sunflower preschool room. About what time do you think?
  3. CustomerMaybe 6:20. Or her grandmother could get her. Linda Shah.
  4. AI agentLinda Shah is on Zara's pickup list. Would you like her to come instead?
  5. CustomerYes, I'll call her now. She'll be there by 5:45.
  6. AI agentGot it. I'll let the Sunflower room know Linda is coming at 5:45. She'll need her photo ID at the door.

After the call: The educator closing the Sunflower room has a note that Linda Shah is picking up Zara at 5:45 with ID, and the change sits on Zara's file with the time of Tariq's call.

What your team gets

  • Pickup changes on the child's file, timed and in writing
  • The closing educator told before the parent arrives
  • No one added to a pickup list by phone
  • Custody concerns put straight through to the director
  • Late pickups logged against the centre's late policy
Set up with you: The team sets up a connection to your child care software for pickup lists and room messages, loads your late pickup policy, and sets the director's phone for warm transfers during the day and after hours.

Questions

Can a parent add a new person over the phone?

No. It tells them how your centre adds someone, in the app or in person, and notes the request for the director.

What if the director isn't in?

Custody concerns go to the person you name as backup. If nobody answers, it takes a full message and texts the director right away.

Does it charge the late fee?

It reads your late pickup policy and notes the late arrival. Billing for it follows your centre's usual process.
