Inbound: the customer calls

Sick-day calls logged before circle time

Between 7 and 9 the phone rings while educators are greeting children at the door. Every absence call is answered, the right room knows before circle time, and symptoms are noted for the director.

When it starts

A parent calls to say their child is staying home.

What the agent does

Marks the absence, notes symptoms, tells the room, reads the return policy.

What your team gets

An accurate attendance sheet and a symptom log the director can see at a glance.

How it works

  1. Answers during drop-off

As many calls at once as come in, so the educator at the door never has to choose between a child and the phone.

  2. Finds the child

By name and room, and confirms it with the parent before marking anything.

  3. Asks about symptoms

Fever, vomiting, diarrhea, a rash or pink eye, noted in the parent's words. She never diagnoses or gives medical advice; anything urgent is told to call 911 or a doctor.

  4. Reads the return policy

If the centre has one for that symptom, like 24 hours fever-free without medication, she reads it as written.

  5. Tells the room

The room's educators see the absence on their tablet before circle time, so nobody waits for a child who isn't coming.

  6. Flags patterns

Three children in one room with the same symptom shows up on the director's summary that morning.

Example call

  1. CustomerHi, it's Renée, Maëlle's mom. She won't be in today, she was up all night with a fever.
  2. AI agentOh no, I'm sorry. Maëlle is in the Otters toddler room, right?
  3. CustomerYes. It was 38.9 this morning.
  4. AI agentThanks, I've noted that. I've marked her absent today and let the Otters room know. Our policy asks for 24 hours without a fever, and without fever medicine, before she comes back.
  5. CustomerOkay. So maybe Thursday.
  6. AI agentThat sounds right. I hope she feels better soon. If anything worries you, please call your doctor.

After the call: Maëlle shows absent in the Otters room with "fever, 38.9" in the note. The director's morning summary lists her with two other toddlers who are home with fevers.

What your team gets

  • Attendance marked before the first activity of the day
  • Symptoms noted in the parent's own words for illness tracking
  • Return-to-care rules read the same way to every parent
  • A morning summary of absences by room and by symptom
  • Educators left at the door with the children
Set up with you: The team loads your illness and return policies word for word, and sets up a connection to your child care software so absences land on each room's attendance and parents see them in the app.

Questions

Will it tell a parent whether their child is too sick?

No. It reads your centre's written policy and suggests a doctor for anything worrying. Decisions about exclusion stay with your director.

Does it work before the centre opens?

Yes. Parents can call at 6:15 and the absence is there when the first educator logs in.

Can parents just text?

They can. A text to the centre's number is handled the same way and marked on the attendance.
