Outbound: the agent calls

Infant spaces offered down the waitlist

A family moves to Kingston and an infant space opens in the middle of the week. Instead of the director making twenty calls between diaper changes, the agent works down the list and has the space filled before Friday.

When it starts

The director marks a space open in a room, with the start date.

What the agent does

Calls families in list order, confirms the details, holds the offer, books the start.

What your team gets

A family who said yes, an updated list, and every family who passed marked as such.

How it works

  1. Pulls the next families

From the waitlist for that room and those days, in the order the centre sets: siblings, staff children, then by date applied.

  2. Calls with the real offer

Which room, how many days, the start date and the daily rate. The family hears exactly what is being offered.

  3. Checks they still need it

Many families have found care since they applied. A no thanks comes off the list politely, and the next family is called.

  4. Holds the space

A yes is held for the time the director chose, usually 48 hours, with the enrolment forms sent by text and email.

  5. Books the first day

A gradual entry visit or two and the first full day, with what to pack: diapers, spare clothes, a crib sheet.

  6. Keeps the director posted

Who was called, who passed and who said yes, in one summary, so the space never sits empty.

Example call

  1. AI agentHi, is this Jonah? It's Emma from Little Pines Child Care. You're on our infant list for Oliver. Is now an okay time?
  2. CustomerYes! Did something open up?
  3. AI agentIt did. A full-time spot in the Bumblebee infant room, starting April 7. The daily rate is the one on the fee sheet you have. Are you still looking for care?
  4. CustomerWe are. My wife goes back to work at the end of April, so that's perfect.
  5. AI agentWonderful. I'll hold it for Oliver until Thursday at 5 and send you the enrolment forms now. Would you like a short visit before he starts?
  6. CustomerYes, that would help him.
  7. AI agentI have April 3 at 9:30 for an hour with you there. I'll put that in and text you a packing list too.

After the call: The infant space is held for Oliver until Thursday at 5, the enrolment forms are sent, a gradual entry visit is booked for April 3, and the director's summary shows two families who passed before Jonah said yes.

What your team gets

  • Open spaces offered in your list order, with every call logged
  • Families who found care elsewhere taken off the list
  • Offers held for the time you set, then moved to the next family
  • Gradual entry visits and first days on the calendar
  • A summary for the director of who said yes and who passed
Set up with you: The team sets up a connection to your child care software and waitlist so the agent reads list order and room openings, and agrees with your director the hold time, the calling hours and how many families to try before stopping.

Questions

Who decides the order?

Your centre. The agent follows your rules: siblings, staff, then date applied, or whatever your policy says.

What if a family needs time to think?

It holds the space for the time you set and calls back once before it expires. Then it moves on, and the family stays on the list if they want.

Does it leave voicemails?

A short one, with a text asking them to call the centre. If they don't call back within the window you choose, it tries the next family.
